Key Responsibilities:
To excel in this role, the individual must effectively manage the following tasks:
- Welcome and guide all clients and visitors, ensuring they are directed to the appropriate personnel.
- Manage incoming calls via the switchboard, directing inquiries and providing facility information in a friendly manner.
- Handle emergency calls with appropriate urgency and direct them to the necessary staff.
- Assist in managing crises by coordinating with medical and clinical staff to address the needs of clients.
- Schedule appointments for both new and returning clients, ensuring alignment with insurance and payer requirements.
- Facilitate follow-up and internal referral appointments as necessary.
- Maintain an accurate and up-to-date appointment schedule in collaboration with the Practice Manager and healthcare providers.
- Generate daily scheduling reports.
- Inform clients about initial visits and treatment options.
- Collect and verify demographic information efficiently.
- Communicate preauthorization requirements to clients.
- Explain agency policies regarding payment and sliding scale options.
- Process payments for services rendered, including self-pay and insurance co-pays.
- Coordinate with Client Account Representatives for clients needing assistance with their account balances.
- Manage a change fund and perform daily cash reconciliations.
- Stay informed about payer restrictions related to provider credentials and status.
- Adhere to compliance standards, including the Code of Conduct and agency policies, as part of regular performance evaluations.
- Work is primarily conducted in a well-lit, climate-controlled office setting.
- This role is considered low-risk regarding exposure to hazards.
- Our facility maintains a non-smoking policy.
To successfully perform the essential functions of this position, the employee must:

Qualifications:
Education and Experience:
- High School Diploma or equivalent (GED).
- Minimum of one year of experience in a medical office setting, preferably in reception, billing, or scheduling.
- Experience with multi-line phone systems.
- Familiarity with EMR/EHR software and Microsoft Office applications.
- Ability to read and interpret safety rules, operational instructions, and procedural manuals.
- Clear background check (subject to DHSS background verification).
- Current tuberculosis screening results.
- First Aid and CPR certifications to be obtained through the agency when available.
