Position Overview

Role Responsibilities

As a Client Service Associate, your primary duties will include managing data entry for the establishment and upkeep of client accounts and records. You will perform a variety of administrative support tasks, which may include word processing, preparing mailings, filing, answering phone calls, and delivering comprehensive customer service support to our clients and financial advisors.

Your Daily Activities:

  • Conducting data entry, participating in team meetings, receiving assignments from financial advisors, engaging with clients both in person and via phone, coordinating tasks to fulfill client requirements, and collaborating with team members on projects aimed at enhancing our client relationships.
  • Standard working hours are Monday through Friday, from 8:00 AM to 4:30 PM.

  • Maintains confidentiality of sensitive information at all times.
  • Demonstrates attention to detail with a strong focus on accuracy and efficiency.
  • Possesses proficiency in Microsoft Word, Excel, and Outlook; training will be provided on industry-specific software.

Key Duties and Responsibilities:

  • Performs clerical tasks related to the initiation of client accounts and ongoing account coding based on client-selected features.
  • Assists clients in obtaining necessary documentation.
  • Provides account-related information to support clients effectively.
  • Organizes and aids in the maintenance of comprehensive client account records.
  • Handles operational or administrative functions for client-related requests (e.g., check requests, fund transfers, address changes, dividend information, etc.).
  • Generates reports and other information as required.
  • Conducts outbound calling activities as assigned.
  • Performs various administrative tasks (e.g., typing, filing, answering phones, mailing documents/letters, etc.) and other duties and projects as assigned.

Qualifications:

  • High School Diploma or equivalent is required.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Administrative Knowledge - Familiarity with administrative and clerical procedures and systems, including word processing, spreadsheet applications, file management, and other office protocols.
  • Time Management - Capable of organizing, prioritizing, and managing multiple tasks, responsibilities, and deadlines; able to follow through and achieve goals while utilizing firm resources efficiently.
  • Critical Thinking - Employs logic and reasoning to evaluate the strengths and weaknesses of various solutions, conclusions, or approaches to practical problem-solving.
  • Excellent Interpersonal Skills - Knowledge of principles and processes for delivering exemplary client service, with the ability to communicate information and ideas clearly in both spoken and written forms, ensuring understanding with excellent grammar and professional etiquette.
