This position is responsible for addressing routine inquiries and resolving issues related to our products and services. In addition to customer interaction, the Service Coordinator will efficiently manage the routing of service work and handle escalated customer calls regarding billing and product support.

Key Responsibilities:

  • Oversee daily operations related to service routing and scheduling, ensuring compliance with operational processes and productivity standards.
  • Maintain a comprehensive database that details planning and regulatory requirements for various counties and municipalities.
  • Act as the primary liaison for project communications, ensuring proactive updates to customers throughout the project lifecycle.
  • Collaborate with the Customer Service Manager (CSM) and District Managers (DMs) to ensure all regulatory requirements are met prior to initiating site plans.
  • Verify that all site plans are accurately completed, collected, and stored in shared folders.
  • Initiate the permitting process once site plans are finalized, communicating necessary lead times to customers.
  • Document and publish timelines for each project, ensuring timely progress.
  • Request utility surveys to facilitate prompt installations.
  • Submit service orders for tank set installations according to project timelines.
  • Secure approvals from the CSM for pricing and fees related to regulatory processes.
  • Coordinate all necessary inspections during various project phases and follow up to obtain approvals.
  • Provide regular updates to the leadership team regarding active projects, challenges faced, and completions.
  • Balance effective communication, customer service, documentation, and process initiation.
  • Offer backup support to the Customer Service Support (CSS) team during peak times as needed.

Qualifications:

  • High school diploma or equivalent is required.
  • A minimum of 5 years of experience in customer service is essential.
  • Proficiency in advanced Excel functions is necessary.
  • Basic accounting knowledge is preferred.
  • Strong organizational skills are required.
  • Experience in typing and data entry is essential.
  • Excellent telephone communication skills are a must.
  • General PC skills, including knowledge of Word, Excel, and PowerPoint, are preferred.
  • Ability to work collaboratively within a team environment is essential.
