Job DescriptionWe are seeking an experienced Office Operations Coordinator to join our team. As an Office Operations Coordinator, you will provide critical support to our office operations, ensuring smooth communication and efficient processes.
Key Responsibilities- Financial Administration: Assist with financial transactions, maintain accurate records within QuickBooks Online, and ensure timely payment of bills and invoices.
- Communication & Collaboration: Serve as a liaison between the office and field teams, facilitating clear communication and resolving operational issues.
- Project Support: Provide administrative support to project managers, including document preparation, scheduling, and data entry.
- Office Operations: Manage incoming communications, maintain organized filing systems, and contribute to a positive and efficient office environment.
- Office Inventory: Manage office supply inventory and place orders as needed.
- Office Coordinating: Coordinate and assist with office meetings and events.
- Software Proficiency: Strong command of MS Office Suite (Word, Excel, Outlook) and QuickBooks Online.
- Language Skills: Fluency in Spanish (both written and verbal) is advantageous for effective communication with our diverse team.
- Organizational Skills: Exceptional attention to detail, ability to prioritize tasks, and ability to meet deadlines consistently.
- Experienced Professional: 5+ years of administrative experience, showcasing exceptional organizational skills, proficiency in project management, and a strong aptitude for learning new systems and processes.
- Initiative & Drive: Ambitious and driven to contribute to the company's success while advancing your career.
- Soft Skills: Ability to adapt to new systems and workflows. Possesses strong communication skills (both written and verbal), exceptional organizational skills, and meticulous attention to detail.
- Teamwork: The ability to work well within a team environment, as well as independently.
- Customer Service: Able to effectively communicate with contractors, homeowners, office staff, and field crew.
Salary Range: $45,000 - $55,000 per year, depending on experience and qualifications.
