Your Responsibilities:

  • Deliver outstanding service to our industrial commercial real estate clients by embodying our core values.
  • Address tenant inquiries and issues promptly and courteously, generating work orders for vendors or maintenance staff, and following up to ensure resolution.
  • Guarantee 24-hour emergency coverage for the property.
  • Conduct regular inspections of the commercial property and tenant spaces to ensure lease compliance and proper maintenance.
  • Maintain and update property and lease files in accordance with company policies.
  • Prepare and manage tenant lease files, records, correspondence, and notes.
  • Become proficient in Yardi Property Management software and Salesforce.
  • Create operating budgets for buildings and properties using Yardi Advanced Budgeting.
  • Complete tenant CAM reconciliations utilizing Yardi.
  • Maintain records and correspondence in Lease Manager.
  • Develop 5-Year Building Capital Plans in collaboration with the Asset Management team.
  • Monitor tenant lease expirations and plan for move-outs and renewals as necessary.
  • Work with the Lease Concierge team to provide new tenants with an Onboarding Resource Guide, covering emergency contacts, vendor contacts, insurance requirements, rent collection procedures, and maintenance requests.
  • Participate in new building onboarding punch walks and ensure completion with the Development Manager, including a one-year warranty review.
  • Collaborate with the Development Management team for a seamless transition of buildings post-construction.
  • Proactively address warranty issues during the first year after construction.
  • Assist the Regional Director of Property Management in establishing the Property Management Plan, Preventative Maintenance Policies, and Property Operations Manual.
  • Contribute to the production of monthly and annual reports.
  • Assist in preparing transaction-related documents.
  • Help maintain tenant contact lists in Yardi.
  • Support the production of departmental reports (e.g., business plans, financial statements, RFPs).
  • Coordinate with contractors.
  • Manage tenant move-ins and move-outs.
  • Review and obtain estimates for property repairs, generating and tracking service orders and approvals.
  • Ensure compliance with contracts for all property-related invoices and verify service work order billings.
  • Update property information in Yardi and Salesforce.
  • Verify invoice amounts and details against approved service orders or contracts.
  • Ensure accurate property and GL coding on invoices.
  • Explore cost reduction opportunities.
  • Assist corporate accounting with property-related inquiries and vendor issue resolutions.
  • This position requires significant travel.

Who You Are:

  • Proficient in MS Word, PowerPoint, G-Suite, and Excel.
  • Minimum of 2 years of direct experience in Commercial and Industrial Property Management.
  • Experience in Industrial Property Management is essential.
  • Familiarity with maintenance, accounting, and tracking software (i.e., Yardi, Salesforce) is advantageous.
  • Ability to prioritize and manage multiple tasks effectively.
  • Excellent interpersonal skills.
  • Strong knowledge of general office equipment (copiers, scanners).
  • Effective oral and written communication skills with peers, managers, and clients.
  • Dependable, flexible, and capable of maintaining confidentiality.
  • Ability to work independently in a remote environment efficiently.
