The Key Account Management Specialist will serve as the primary internal liaison for all Key Accounts, emphasizing exceptional customer service and support while continuously seeking innovative ways to enhance our service, systems, and overall performance.

Core Responsibilities:
  • Oversee daily operations related to key account support, including order processing, tracking, EDI compliance, shipping documentation, logistics coordination, problem resolution, and necessary communication and reporting.
  • Manage all requests and requirements for compliance accounts, including EDI order processing, pre-ticketing, custom carton labeling, UCC128 labeling, and daily inventory feeds.
  • Ensure all routing guides, compliance manuals, and transaction-specific needs of key accounts are meticulously maintained.
Essential Duties:

Key Account Order and Compliance Support: Ensure all key account functions meet the highest standards of customer and company expectations, including managing customer relationships, order entry, inventory tracking, and effective communication regarding order status.

Sample Requests: Submit and coordinate requests with the sample department and product development, ensuring timely follow-up and communication.

System Management: Maintain product and customer data, ensuring accuracy and timely updates in the UPC catalog and QRS catalog.

EDI/Compliance Management: Track and update key account rules and requirements effectively.

Logistics Coordination: Oversee traffic management, import/customs procedures, scheduling, and shipping documentation, ensuring timely communication regarding any deviations in product flow.

Communication: Act as the primary contact with third-party warehouses to ensure data integrity and compliance.

Key Tasks:
  • Develop strong relationships with buyers and assistant buyers through effective communication.
  • Minimize processing errors to reduce charge-backs.
  • Enhance reorder sales through proactive communication with buyers.
  • Ensure timely processing of drop ship accounts and communication of shipping notices.
  • Maintain UPC code accuracy in company and customer systems.
  • Complete New Product Information forms promptly to facilitate timely purchase orders.
  • Monitor credit status of accounts and communicate effectively with management.
  • Track shipments and investigate any discrepancies in shipping or invoicing.
  • Ensure shipping performance meets customer expectations for accuracy and compliance.
  • Manage customer data effectively, both online and in hard copy.
  • Conduct thorough research and resolution of charge-backs.
  • Oversee labeling, routing, and logistics for shipments.
Qualifications:

Demonstrated experience and knowledge of EDI systems, UPC compliance, and routing guide management are essential.
