Position Overview

The Client Access Coordinator plays a pivotal role in ensuring a friendly and inviting atmosphere for all clients and visitors. This position is dedicated to treating every individual with respect and providing outstanding customer service. The Client Access Coordinator collaborates closely with fellow team members to maintain compliance in client onboarding and record management.

Key Responsibilities
  • Engage with clients and visitors in a courteous and welcoming manner.
  • Adhere to HIPAA regulations to protect client information.
  • Implement client check-in procedures to ensure accurate record-keeping.
  • Answer phone calls promptly and courteously, directing them appropriately.
  • Process client payments for services rendered.
  • Distribute necessary paperwork for both new and existing clients.
  • Manage incoming and outgoing correspondence efficiently.
  • Ensure timely distribution of client statements as required.
  • Accurately upload client documents into the electronic medical records system.
  • Oversee the waiting area and maintain cleanliness of workstations.
  • Complete assigned projects in a timely manner as directed by supervisors.
Required Qualifications
  • High School diploma or equivalent.
  • Previous experience in a receptionist role or similar capacity.
  • Professional appearance and demeanor.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office 365 applications, including Word, Excel, Outlook, and Zoom.
  • Effective time management skills.
