As a Legal Reception Coordinator, you will engage in a range of administrative responsibilities within our supportive and collaborative environment. Your role will involve assisting local attorneys and paralegals by managing fee agreement documentation, scheduling, filing legal documents, communicating with clients, and preparing essential files for attorneys during trials, hearings, and other court proceedings. You will also be responsible for managing the front desk, answering incoming calls, and serving as the initial point of contact for clients and visitors.

KEY RESPONSIBILITIES:

  • Greet incoming visitors, direct clients to appropriate areas, and provide hospitality by offering refreshments.
  • Oversee office supplies inventory and ensure cleanliness in shared spaces.
  • Handle payment processing, bank deposits, and petty cash reconciliation.
  • Respond to all incoming phone calls professionally.
  • Process client-related documents from legal staff and ensure proper filing within client records.
  • Prepare necessary files for attorneys for upcoming court dates, hearings, and meetings.
  • Maintain the file room, update records as needed, and manage e-filing and scanning of documents as directed.
  • Travel to court to file documents and present materials for attorney signatures.
  • Assist paralegals and attorneys with file reviews and preliminary legal research.
  • Schedule hearings, deadlines, meetings, and other significant events as instructed.
  • Deliver exceptional service to clients consistently.
  • Build and maintain a respected reputation among clients, opposing counsel, judges, court personnel, and colleagues.
  • Perform additional duties as assigned.

MINIMUM REQUIREMENTS:

A High School Diploma or GED is required; a college degree or 2+ years of experience in a legal setting is preferred. Strong verbal and written communication skills are essential, along with the ability to engage effectively with both internal and external stakeholders. Proficiency in computer applications (MS Office - Word, Excel, and Outlook) is necessary. The ability to work under pressure and meet deadlines while maintaining a positive demeanor and providing excellent customer service is crucial. Candidates should be capable of working independently and completing tasks within given guidelines and accepted practices.

PREFERRED QUALIFICATIONS:

Demonstrated skills in process, project, and operational management; strong organizational and prioritization abilities; excellent analytical skills; and a creative approach to problem-solving. A positive and professional attitude, along with a proven history of collaboration with various departments (e.g., Finance, Operations, Sales, IT) to achieve objectives and deliver results, is desirable.

EQUAL PAY:

WORK ENVIRONMENT AND PHYSICAL DEMANDS: Duties will be performed in a standard office setting. Employees are expected to maintain regular, punctual attendance in accordance with company policy. Some employees may be required to work weekends, holidays, be on call, or travel overnight as needed.
