Job Summary

The Residency Program Coord 2 is responsible for the day-to-day operations of the psychology internship program, providing administrative support to the training director, interns, and faculty members. This includes coordinating meetings, tracking post-graduate survey results, and maintaining up-to-date knowledge of APA policies and procedures.

Responsibilities
  • Coordinate and facilitate annual meetings with faculty, interns, and site directors
  • Prepare and distribute meeting minutes, review data, and assist in implementing action plans
  • Track post-graduate survey results and provide summary data tables and information as needed
  • Oversee day-to-day operations of the psychology internship program, communicate with constituents, and maintain up-to-date knowledge of APA policies and procedures
  • Work with the Associate Training Director to develop rotations and schedules, manage sites and schedules, and manage interns and fellows' morale and respond to concerns
  • Manage intern and fellow management system (New Innovations) to track duty hours and monitor compliance
  • Ensure interns and faculty are trained to recognize signs of stress and fatigue in interns and monitor levels among trainees
  • Manage evaluations using New Innovations, maintain interns' portfolios, and ensure intern compliance with APA/AU MCG procedures and AU credentialing requirements
  • Forward documentation to the business manager/accountant for processing of reimbursements for supplies, manage resident leave requests, and track in interns and fellow management system
  • Coordinate intern and fellow events, including conferences, retreats, BLS training, and conferences
  • Ensure completion of all APA required components of interns, faculty, rotation, program, and other evaluation in the internship management system
  • Assist in development of intern remediation plans, assist in preparation of appropriate letter of recommendation for graduates and verification of training request, and maintain intern database and hard copy files of current trainees and alumni
  • Coordinate and staff meetings, arrange for professional development for program faculty as needed, and provide office support for interns and fellows
  • Coordinate marketing activities and communication for program recruitment, maintain historical record of the program and program library, and process additional documentation as needed
  • Forward all pertinent internship training program information to the website coordinator on a regular basis, collaborate with GME colleagues on local and national initiatives, attend local, regional, and national APA conferences, and seek participation and certification in professional organizations
Requirements

The ideal candidate will have a Bachelor's degree from an accredited college or university and 4 years of professional or administrative experience, including a minimum of 2 years of educational program experience or similar experience. Alternatively, the candidate may have an Associate's degree from an accredited college or university and 7 years of professional or administrative experience, including a minimum of 4 years of educational program experience or similar experience. Or, the candidate may have a High School, GED, or equivalent from a recognized State or Federal accredited organization and 10 years of professional or administrative experience, including a minimum of 6 years of educational program experience or similar experience.

The candidate should be able to maintain confidentiality, be detail-oriented, have excellent interpersonal, verbal, and written communication skills, and be proficient in Microsoft Office and other computer software/databases.
