We are seeking a skilled Administrative Assistant II to join our team at the University of Florida. This role will provide comprehensive administrative support to Principal Investigators (PIs) and their associated laboratories.

The ideal candidate will possess a high school diploma or equivalent and four years of relevant experience. A high level of administrative support experience, excellent verbal and written communication skills, and the ability to work in a fast-paced environment are highly desirable.

Compensation:

We offer a competitive salary commensurate with experience. The estimated salary for this position is $62,000 - $72,000 per year.

Responsibilities:

  • Coordinate meetings and scheduling for PIs, including arranging regular laboratory meetings and travel logistics for conferences.
  • Collaborate on event coordination and special administrative projects, including faculty recruitment, departmental seminar series, and institutional seminars.
  • Process reimbursements and invoices, monitor budgets, and make revisions as needed.
  • Aide in the recruitment and onboarding of new employees by working closely with the HR department and liaising with the International Office for visa-related concerns.
  • Assist with laboratory functions, including procurement, payroll coordination, IT service management, facility upkeep, and biosafety training facilitation.
  • Update or contribute to website development as needed.
  • Liaise with the pre-award department to collect and organize information for grant proposals or reports.
  • Manage logistical arrangements for guest speakers and events, overseeing travel coordination and securing catering, conference room bookings.
