About the Role

Job Summary

The Executive Office Coordinator will be responsible for providing administrative support to our management team, ensuring the smooth day-to-day operation of our office, and maintaining a high level of professionalism and integrity.

Key Responsibilities:
  • Provide exceptional administrative support to our management team, including scheduling appointments, managing calendars, and preparing reports.
  • Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and security.
  • Coordinate travel arrangements, meetings, and events, both locally and internationally.
  • Develop and implement effective office systems and procedures to improve efficiency and productivity.
  • Manage and maintain office supplies, equipment, and software, ensuring optimal performance and functionality.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Perform other administrative tasks as required, including data entry, email management, and phone coverage.
Requirements:
  • Proven experience as an administrative assistant or office coordinator, preferably in a marketing and public relations firm.
  • Strong knowledge of office management systems, procedures, and software, including MS Office, Adobe, and QuickBooks.
  • Excellent communication, organizational, and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • High School degree; additional qualifications in business administration or a related field would be an asset.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
Salary:

$55,000 - $65,000 per year, depending on experience and qualifications.
