Job Overview

Position Title: Administrative Assistant II

This role collaborates closely with our clinical research personnel and various departments to ensure outstanding service to participants in our clinical research studies.

KEY RESPONSIBILITIES
  • Welcome patients at the reception area.
  • Handle and route incoming phone inquiries.
  • Coordinate and arrange meetings for the team, including taking minutes.
  • Draft and circulate emails, memos, letters, faxes, and forms.
  • Oversee requests for medical records and their documentation.
  • Assist in compiling regularly scheduled reports.
  • Establish and maintain an organized filing system.
  • Provide administrative assistance to site management and clinical staff.
  • Promptly escalate administrative issues for resolution in a professional manner.
  • Manage office supplies, including shipping and receiving of non-clinical materials, and maintain office organization.
  • Ensure cleanliness and readiness of the patient waiting area.
  • Support the opening and closing procedures of the clinic as necessary.
  • Administer participant stipends related to office visits, eDiaries, and safety calls.
  • Arrange transportation for patients to and from the clinic.
  • Coordinate patient scheduling, site calendars, and office visits.
  • Order and manage catering for patients and staff when required.
  • Monitor inventory of gift cards, payment methods, and other essential items.
  • Handle cash transactions for AMEX and CRIO.
  • Perform any additional tasks assigned by management.
QUALIFICATIONS

Education:

  • High School Diploma or equivalent is mandatory.
Experience:
  • Minimum of 1 year experience as an administrative assistant is required.
  • At least 1 year of experience in a clinical or medical office setting is essential.
Skills and Competencies:
  • Strong computer proficiency is necessary.
  • Ability to manage multiple tasks simultaneously with a keen attention to detail.
  • Reliability and excellent communication skills are crucial.
  • Capability to thrive in a fast-paced environment while managing various responsibilities and projects.
