We are seeking a highly skilled Administrative Support Specialist to provide high-level administrative support to the CEO of our dynamic, international SaaS company. Based in Phoenix, Arizona, this role offers remote/hybrid flexibility and requires exceptional organizational skills, a proactive attitude, and the ability to thrive in a fast-paced environment.

Key Responsibilities
  • Schedule and manage executive appointments, meetings, and travel arrangements with precision and attention to detail.
  • Act as the main contact between the CEO and stakeholders, including clients, staff, and board members, ensuring seamless communication and efficient resolution of issues.
  • Draft, review, and manage various forms of correspondence, including emails, memos, and reports, maintaining confidentiality and discretion when handling sensitive information.
  • Prepare materials for meetings, draft agendas, take minutes, and ensure follow-up actions are completed, enhancing the productivity and efficiency of the CEO's office.
  • Arrange domestic and international travel, including bookings and itineraries, making recommendations to optimize travel schedules and budgets.
  • Track and manage expenses and prepare reimbursement reports, maintaining accurate records and adhering to company policies.
  • Assist with special projects, presentations, and research as needed, providing valuable insights and expertise to drive business growth and success.
  • Organize and maintain both digital and physical files to ensure accessibility and up-to-date records, supporting the CEO's time management and decision-making processes.
  • Help plan and coordinate executive level events and offsite activities, ensuring smooth execution and positive outcomes.
Qualifications
  • Bachelor's Degree from an accredited institution.
  • At least 5 years of experience as an executive assistant supporting C-level executives.
  • Excellent verbal and written communication skills, with the ability to articulate complex ideas and negotiate effectively.
  • Strong organizational and multitasking abilities, with a proven track record of managing multiple tasks simultaneously and prioritizing effectively.
  • Proficiency in Microsoft Office Suite, with expertise in Word, Excel, PowerPoint, and Outlook.
  • Ability to manage multiple priorities, work independently, and take initiative, demonstrating self-motivation and accountability.
  • Strong attention to detail and accuracy, with a commitment to delivering high-quality results and meeting deadlines.
  • Ability to handle confidential information with discretion and maintain confidentiality, upholding the trust and integrity of the CEO's office.
Salary and Benefits

The salary for this position is estimated to be between $90,000 and $120,000 per year, commensurate with experience.
