Position Overview
Under the supervision of the Financial Aid Programs Manager, the Financial Aid Scholarship Coordinator plays a crucial role in managing various scholarship initiatives available at the institution. This position also provides support for the administration of special state grant programs and external state grants. As the primary contact for scholarship programs, the Coordinator engages with students, multiple college departments, external organizations, and sponsoring institutions.

Key Responsibilities

  • Oversee all aspects of financial aid related to state grant special programs, ensuring accurate reconciliations and year-end closing processes.
  • Coordinate the year-end closing activities in collaboration with the finance department.
  • Manage the manual bookstore credit process by reviewing requests and updating the bookstore as necessary.
  • Supervise financial aid elements of internal and external scholarships, ensuring compliance with eligibility requirements and program certifications.
  • Verify that eligibility criteria are met and that awards are accurately recorded, making adjustments to other aid as necessary.
  • Establish and maintain effective communication channels for disseminating information regarding scholarships and state programs, including follow-up with applicants and agencies.
  • Oversee the Promise Scholarship program, managing student cohorts and ensuring ongoing eligibility while developing communication strategies.
  • Collaborate with the marketing department to create and distribute annual email communications and welcome letters.
  • Ensure the Promise Scholarship website is updated with the latest information from institutional advancement and donors.
  • Conduct reconciliation processes in the financial management system at the end of each semester to confirm scholarship disbursements.
  • Participate in interdepartmental meetings to discuss grant and scholarship programs, fostering relationships that support program success.
  • Engage in the scholarship selection process and contribute to workshops and committees as required.
  • Initiate requests for new scholarship fund codes and establish new scholarship programs as needed.
  • Develop and document standard operating procedures to ensure timely and accurate awarding and disbursement of scholarships.
  • Work collaboratively with other departments to manage student account holds and selection processes.
  • Assist with financial aid workshops and provide counseling to prospective and current students regarding financial aid processes.
  • Support the department with verification, summer aid processing, and quality control initiatives.
  • Coordinate the setup of scholarships and state programs within the financial management system.
  • Uphold confidentiality and accuracy in all aspects of work.
  • Adhere to regulations regarding the security and confidentiality of student records.
  • Perform duties in alignment with the college's mission and core values.
  • Maintain sensitivity and respect for a diverse academic environment.
  • Deliver exceptional customer service to all constituents.
  • Other responsibilities as assigned.
Qualifications
  • Bachelor's degree from an accredited institution is required.
  • A minimum of two years of experience in student financial aid processing is required.
  • Proficiency in Microsoft Office Suite and internet applications is required.
  • Strong communication skills, both oral and written, are essential for effective interaction with students and staff.
  • Ability to manage multiple priorities and meet deadlines is required.
  • Experience working in a diverse academic environment is essential.
  • Demonstrated commitment to providing exceptional service to all customers is required.
  • Willingness to work extended hours as needed.
Preferred Qualifications
  • Experience with enterprise-wide systems is preferred.
  • Prior experience in scholarship processing is preferred.
  • Familiarity with collective bargaining environments is preferred.
