Position Overview
Under the supervision of the Financial Aid Programs Manager, the Financial Aid Scholarship Coordinator plays a pivotal role in overseeing various scholarship initiatives available at the institution. This role also involves assisting with the management of state grant special programs and external state grants. The Coordinator acts as the primary point of contact for scholarship programs, collaborating with students, various departments within the institution, external agencies, and other sponsoring organizations.

Key Responsibilities

  • Manage all financial aid components of state grant special programs, ensuring accurate reconciliations and year-end closing processes.
  • Coordinate the annual closing procedures for all programs in collaboration with the Controller's Office.
  • Oversee the manual bookstore credit process by reviewing requests and updating the Bookstore with necessary information.
  • Supervise all financial aid aspects related to internal and external scholarships, ensuring compliance with eligibility criteria and program certifications.
  • Verify that eligibility requirements are met and awards are accurately recorded, making adjustments to other aid as necessary.
  • Establish and maintain effective communication channels regarding scholarships and state programs, including follow-up with applicants and sponsoring agencies.
  • Oversee the Promise Scholarship, managing student cohorts and ensuring ongoing eligibility while developing communication strategies.
  • Collaborate with the Marketing Director to create and distribute annual email communications and welcome letters.
  • Ensure the Promise Scholarship website is up-to-date with accurate information from Institutional Advancement and College Donors.
  • Conduct reconciliation processes in the institutional system at the end of each semester to verify scholarship disbursements.
  • Participate in meetings with various departments to discuss grant and scholarship programs, ensuring their success.
  • Engage in the scholarship selection process and participate in orientations, workshops, and committees as needed.
  • Initiate requests for new scholarship fund codes and establish new scholarship programs accordingly.
  • Develop and document standard operating procedures to ensure accurate awarding and disbursement of scholarships and state programs.
  • Assist with the management of student accounts and scholarship postings in the institutional system.
  • Provide guidance on financial aid applications and eligibility to prospective and current students and their families.
  • Support the department with verification, summer aid processing, and quality control initiatives.
  • Demonstrate a strong commitment to confidentiality and accuracy in all work-related tasks.
  • Adhere to regulations regarding the security and confidentiality of student records.
  • Uphold the mission and values of the College in all assigned duties.
  • Deliver exceptional customer service to both internal and external stakeholders.
  • Perform additional duties as assigned.
Qualifications
  • Bachelor's degree from an accredited institution is required.
  • A minimum of two years of experience in student financial aid processing is required.
  • Proficiency in Microsoft Office applications and internet navigation is required.
  • Strong communication skills, both oral and written, are essential for effective interaction with students and staff.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Commitment to fostering a diverse academic environment is required.
  • Ability to work collaboratively as part of a team is essential.
  • Exceptional customer service skills are necessary.
  • Availability to work extended hours, including evenings and weekends, may be required.
Preferred Qualifications
  • Experience with enterprise-wide systems is preferred.
  • Previous experience in scholarship processing is preferred.
  • Familiarity with collective bargaining environments is preferred.
