The Senior Administrative Coordinator will provide essential support to the Chief Operating Officer of Daikin and other high-ranking executives by delivering top-tier administrative assistance. This role encompasses a variety of clerical duties, welcoming clients and visitors, organizing travel arrangements, managing correspondence, overseeing executive meetings and calendars, and preparing presentations and reports. Additionally, this position may involve mentoring and supervising junior clerical staff.

Key Responsibilities

  • Oversee and coordinate executive schedules, including travel and conference arrangements, appointment setting, and modifications as necessary.
  • Manage incoming calls, directing them to the appropriate executives and taking messages when required.
  • Sort and distribute incoming correspondence, including emails, faxes, and traditional mail.
  • Review and assess submissions, letters, agendas, and memos, determining their significance and forwarding them to the relevant personnel promptly.
  • Compile reports, gather and analyze data, and create presentations.
  • Utilize historical data effectively.
  • Document meeting discussions and prepare minutes.
  • Maintain an inventory of office supplies, anticipating needs and placing orders as required.
  • Ensure the functionality of office equipment, arranging for maintenance when necessary.
  • Demonstrate proficiency in Access, MS Word, Excel, and Outlook.
  • Assist in financial coordination and budget preparation.
  • Train clerical staff on policies and procedures and facilitate the setup of new computers for incoming employees.
  • Draft executive responses to routine memos, letters, or correspondence.
  • Provide general clerical and office support to various departments.
  • Delegate tasks and responsibilities to other staff members as appropriate.
  • Engage with customers when necessary and resolve any issues they may encounter.
  • Document complaints and devise suitable action plans, escalating unresolved issues to executives.
  • Perform additional duties as assigned.
Qualifications
  • Possesses comprehensive theoretical knowledge typically acquired through advanced education.
  • Adheres strictly to established procedures while performing structured work assignments.
  • Work is closely monitored.
  • Encounters primarily straightforward problems.
  • Communicates facts, policies, and practices related to the job area effectively.
  • High school diploma or GED equivalent is required; a strong work ethic, polished demeanor, and resourcefulness are essential.
  • Exhibits strong relationship-building and interpersonal skills.
  • Demonstrates exceptional written and verbal communication abilities.
  • Displays meticulous attention to detail.
  • Possesses the ability to interact professionally with both internal and external personnel.
  • Maintains a high level of discretion regarding sensitive and confidential information.
  • Ability to learn swiftly, work independently, and prioritize multiple tasks in a fast-paced environment.
  • An Associate's degree in business or a related field is preferred.

Compensation: $22 - $26 per hour
