The Role We Want You For

The Construction Administrative Coordinator plays a pivotal role in providing extensive support to Clayco's Project Managers, Project Engineers, Superintendents, Mission Control, and Technical Services as needed. Responsibilities include preparing daily and monthly reports, managing mail distribution, and assisting with document management by processing subcontracts, purchase orders, letters of intent, change orders, safety audits, submittals, bid packages, and punch-list items, ensuring accurate updates throughout the project lifecycle. The coordinator will also follow up with subcontractors and suppliers regarding any missing executed documents, arrange meetings, coordinate travel, and facilitate catering as required. Additionally, this role involves greeting and directing visitors, workers, and deliveries, while providing overall assistance to the project team to achieve the company's objectives. This individual must be proactive, capable of working independently with minimal supervision, yet also a collaborative team player. Assigned to project teams, the coordinator should be organized, focused, and quick to learn.

Specific Responsibilities:

  • Prepare correspondence and documentation (typing).
  • Assist with various tasks to achieve company objectives, including typing, filing, copying, binding, scanning, and document retrieval for auditing and litigation as necessary.
  • Retrieve, scan, transmit, and distribute executed subcontracts, change orders, and other project-related documents, a critical responsibility.
  • Type contracts, change orders, letters of intent, meeting minutes, and distribute as required, while also assisting with project closeout.
  • Assist in entering punch list items and updating information until project completion.
  • Run reports and dunning letters on projects as needed.
  • Enter Daily Reports for Clayco and Subcontractors, following up on any missing paperwork.
  • Update rack drawings with the most current issues promptly, potentially on a daily basis.
