Job Summary

MVE & Partners, INC. is seeking a highly organized and detail-oriented Office Administrative Assistant to support the daily operations of our U.S. based offices. As the first point of contact for clients and visitors, this role plays a key role in creating a welcoming environment.

Key Responsibilities:

  • Provide administrative support to management and the company, including responding to voicemail messages, screening visitors, and resolving routine and complex inquiries.
  • Maintain and supply kitchens, bathrooms, and snack stations daily, and conference rooms between meetings.
  • Order and organize office supplies, kitchen supplies, snacks, and company-provided bathroom supplies.
  • Coordinate office events, including presentations, lunch & learns, and other activities.
  • Manage incoming and outgoing deliveries and mail, including delivery drop-offs.
  • Coordinate with 3rd party vendors to schedule and organize lunch and learns.
  • Assist with travel arrangements for employees and senior management.
  • Perform other administrative tasks as assigned.

Requirements:

  • Intermediate to advanced level of proficiency with Microsoft Teams, Word, Excel, PowerPoint, and Outlook.
  • Excellent communication and interpersonal skills.
  • Ability to follow direction and deliver results in a timely manner.
  • Detail-oriented and well-organized.
  • Proactive self-starter who seeks to identify and complete office-related tasks.
  • Resourceful, adaptable, and able to handle challenges with confidence and creativity.
