Role Summary:
The Client Services Specialist will serve as a friendly and supportive presence for our clients and staff. This position is crucial in facilitating our clients' success throughout their therapy experience while also providing opportunities for personal growth within the organization.
Key Responsibilities:
Communication Management:
Handle incoming calls and direct them appropriately.
Greet and assist visitors and clients.
Administrative Support:
Gather information from various sources, including records and emails. Create written summaries as necessary.
Address and resolve administrative inquiries and concerns.
Maintain professional communication through phone, email, and written correspondence.
Coordination and Support:
Assist the team in maintaining organization and effective communication.
Oversee office supplies and coordinate maintenance of equipment.
Work with vendors as needed by the administrative team.
Facility Management:
Conduct inspections of the facility and report findings to relevant managers.
Manage inventory by checking stock levels and placing orders.
Handle incoming and outgoing mail.
Proofread and type documents produced by the department.
Event Planning and Facility Oversight:
Organize special events for the facility (e.g., community engagement activities). Maintain cleanliness and organization of rooms and the overall building.
Manage the event calendar effectively.
Provide support for staff requests during shifts.
Offer childcare coverage for staff during designated times.
Additional Duties:
Perform other related tasks as assigned.
Qualifications:
A genuine passion for assisting others and a strong commitment to exceptional customer service.
Excellent verbal and written communication skills.
Strong organizational abilities and attention to detail.
Demonstrates resourcefulness and adaptability in various situations. Capable of lifting and carrying items weighing up to 15 pounds. Experience in a client-facing role, ideally within healthcare or therapy environments.
Proficient in Microsoft Office Suite and quick to learn new systems.Familiarity with ABA therapy principles is advantageous.
Preferred: Associates degree or equivalent education.
Experience in administrative roles for three to five years.
Recent TB test results within the past year.
