Job Summary

We are seeking a highly skilled and experienced Senior Office Specialist to join our team at the City of San Jose, CA. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, performing a variety of office clerical tasks, and supporting the day-to-day operations of our department.

Key Responsibilities
  • Provide customer service duties requiring knowledge of organization and applicable procedures, laws, rules, and regulations.
  • Act as receptionist, refer individuals to the appropriate staff member, give out a variety of information and written materials, and help the public fill out forms.
  • Answer and screen telephone calls, take messages, and refer telephone calls to the appropriate person.
  • Assemble and verify data and information in complex reports, records, and databases.
  • Perform data entry and type documents, including the use of word processing, spreadsheets, database systems, and presentation software.
  • Set up complex filing systems and procedures, maintain and update files, forms, records, inventories, and documents.
  • Code items for posting, entering, or listing, make arithmetical calculations, and maintain diversified records.
  • Prepare and draft basic memorandums, meeting notes, and other documents, and answer correspondence.
Requirements
  • Completion of high school or equivalent.
  • Two years of experience in varied office clerical work.
  • Acceptable substitution: Bachelor's Degree from an accredited college or university.
Preferred Qualifications
  • Knowledge of and experience with applicable professional/technical principles and practices, Citywide and departmental procedures/policies, and federal and state rules and regulations.
  • Experience with common business computer applications, including MS Outlook, MS Word, MS PowerPoint, MS Access, and MS Excel.
  • Ability to anticipate customers' needs and deliver services effectively and efficiently using professional demeanor.
