Job Title: Administrative Assistant

Servpro of Coeur d'Alene is seeking a highly skilled and organized Administrative Assistant to join our team.

Job Summary:

We are looking for a detail-oriented and customer-focused individual to provide administrative support to our team. The successful candidate will be responsible for maintaining job files, coordinating with clients and insurance adjusters, and ensuring that all documentation is accurate and up-to-date.

Key Responsibilities:
  • Maintain job files and ensure that all documentation is accurate and up-to-date
  • Coordinate with clients and insurance adjusters to ensure that all requirements are met
  • Provide exceptional customer service and respond to customer inquiries in a timely and professional manner
  • Assist with daily job file coordination and ensure that all tasks are completed efficiently
  • Perform job file backup and maintain internal and external communications with customers, insurance adjusters, crew, and project managers
  • Prepare job file reports and complete and review job file documentation for final upload and audit process
  • Perform job close-out and assist other departments as needed
Requirements:
  • Offer exceptional customer service and respond to customer inquiries in a timely and professional manner
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Polite, confident, and excellent customer service skills, including listening and information gathering skills
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Ability to multi-task and work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate and proprietary software
  • Experience with writing estimates, job file processes, and quality assurance a plus
  • Minimum of HSD/GED preferred
  • Ability to successfully complete a background check subject to applicable law
Physical and Work Environment Requirements:

This is a largely sedentary role in an office environment. However, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

This is a full-time position working four- 10hr shifts, 7:00 a.m.- 5:00 p.m., Monday through Thursday or Tuesday through Friday, M-F 8 hour shift may be an option.

This position requires availability for on-call, minimum one week per month to intake and dispatch emergency call after hours from home.
