Position Summary

The Automotive Service Coordinator will undertake a range of administrative and data management tasks while driving enhancements within the Maintenance department. This role involves close collaboration with the Shop Foreman to receive updates on ongoing projects and managing the initiation and completion of repair and purchase orders.

Key Responsibilities

  1. Maintain ongoing communication with drivers.
  2. Manage the opening and closing of repair and purchase orders.
  3. Collaborate with the Shop Foreman for updates on current jobs.
  4. Assist with parts room operations, including organization, stocking, and invoicing.
  5. Conduct vehicle inspections upon arrival and departure from the service facility.
  6. Handle multi-line phone systems and direct calls appropriately.
  7. Perform various administrative tasks such as data entry, filing, and faxing.
  8. Support auto haulers and clients with documentation and mailing needs.
  9. Enter data into multiple systems as required and assist other Maintenance team members.

Preventative and Scheduled Duties

  1. Ensure timely follow-up with vendors, dispatch, and the Maintenance department.
  2. Work directly with drivers and dispatch to uphold maintenance schedules.
  3. Coordinate with repair facilities to ensure timely service completion and minimize downtime.
  4. Review maintenance invoices for accuracy and confirm completion of requested services.
  5. Document any incomplete repairs for follow-up.
  6. Ensure timely completion of follow-up repairs.
  7. Record vehicle repairs and work orders related to preventative maintenance in the designated system.
  8. Communicate with Maintenance team members to optimize downtime.

Qualifications

  1. At least one year of experience in a service coordination role.
  2. Proficient computer and writing skills.
  3. Familiarity with management software is advantageous.
  4. Ability to manage multiple tasks effectively.
  5. Strong attention to detail and accuracy.
  6. Ability to thrive in a fast-paced environment while maintaining composure.
  7. Excellent interpersonal skills to foster positive relationships with the service team and drivers.
  8. Strong verbal and communication abilities.
  9. Experience with diesel truck diagnostics is a plus.
  10. Background in heavy and medium-duty truck industries is beneficial.
  11. Willingness to work overtime and weekends as needed.

While executing the responsibilities of this position, the employee is required to sit or stand for the majority of their duties, with frequent walking. The role involves moderate standing, stooping, kneeling, bending, lifting, and reaching.

Visual requirements include the ability to read from a computer screen and printed materials. A high degree of dexterity is necessary due to frequent use of a telephone console.

Verbal and auditory skills are essential for clear communication over the phone and in person. The role may require moderate grasping, lifting, pushing, and/or pulling of objects weighing less than 25 lbs.
