Vail Health Hospital is seeking a highly skilled and detail-oriented Medical Office Coordinator to join our team. As a key member of our healthcare team, you will be responsible for ensuring seamless patient registration, admissions, and associated tasks.

Key Responsibilities
  1. Registration and Admissions: Register patients and perform all registration-related functions, including explaining and obtaining necessary patient consents and authorizations in a timely manner.
  2. Communication and Customer Service: Communicate effectively with patients to assist in access to care, answering telephone and other incoming communications in a timely and customer-service oriented manner.
  3. Documentation and Audits: Perform on-going documentation audits for medical necessity, plan of care, and other related tasks or requirements by payors, including Medicare, using a variety of computer-based systems.
  4. Scheduling and Reminders: Routinely schedule appointments for procedures, educating patients with pre-exam and post-exam requirements within scope. Organize, generate, and distribute patient reminders, results, and recall letters.
  5. File Management and Correspondence: Establish files, maintain information, and scan medical records in a timely and organized manner. Manage, direct, and respond to incoming office correspondence as deemed appropriate.
  6. Supply Inventory and Cost Control: Organize, monitor, and order front desk supply inventory to assure cost-effective departmental spending.
  7. Compliance and Regulatory Requirements: Follow the Center for Medicare & Medicaid Services (CMS) requirements for checking medical necessity, communicates relevant coverage/eligibility information to the patient. Identify patients who will need Medicare Advance Beneficiary Notices (ABNs) of non-coverage and maintain accurate records of authorizations within the EMR.
  8. Medicare Secondary Payer Questionnaire: Complete Medicare Secondary Payer Questionnaire for Medicare beneficiaries in accordance with Centers for Medicare & Medicaid Services (CMS) standards.
  9. Compliance with HIPAA, EMTLA, and Joint Commission Requirements: Ensure compliance with all applicable HIPAA, EMTLA, and Joint Commission requirements, providing required associated literature to patients.
Requirements
  • Customer Service and Clerical Experience: Must possess customer service and clerical experience.
  • Computer Skills: Must possess, or be able to obtain within 90 days, the computer skills necessary to complete online learning requirements for job-specific competencies, access online forms and policies, complete online benefits enrollment, etc.
  • English Language Proficiency: Must have working knowledge of the English language, including reading, writing, and speaking English.
