Job Summary:The Office Administration Assistant will provide administrative support to our team, including managing meeting schedules, office inventory, and HR administrative activities as needed.
Key Responsibilities:- Provide exceptional customer service by greeting and screening callers and visitors, and directing them to the appropriate person or area.
- Manage general incoming calls to the firm, listening to voicemails and following up as needed.
- Manage company online faxing and handle administrative and program-related mailings.
- Notify the Office Administrator about office purchases to be made and work with them as needed on assigned tasks.
- Organize, reserve, and oversee conference room assignments and handle supplies and the delivery of company equipment.
- Create, read, analyze, file, retrieve, and organize organizational documents, invoices, and orders.
- Facilitate Employee Email, Laptop, and Access and may also handle administrative functions of the human resources department and support as backup for some key HR activities.
- Support with social media platforms monitoring as needed and serve as key project support for small-sized projects, particularly internal projects or events.
- Bachelor's degree in a relevant field, preferably healthcare.
- Proven work experience as an Office Assistant or Administrator.
- Knowledge and proficiency in Microsoft Office Suite.
- Excellent verbal and written communication skills and the ability to work effectively with a team.
- Very responsive and good problem-solving abilities.
- Knowledge of basic office equipment, such as copiers, fax machines, and printers.
- Organizational skills and the ability to multitask, as well as self-motivation, critical thinking skills, and decision-making skills.
- Reliable transportation needed, with a requirement to work 5 days a week in-person at our Silver Spring, MD office.
