Job Summary:
The Unit Secretary operates under the supervision of the Nurse Manager and Assistant Nurse Manager to ensure the delivery of safe, age-appropriate, and culturally sensitive patient care. This role encompasses various clerical and receptionist duties, including data entry, supply management, patient chart preparation, and serving as the primary communication link within the nursing unit.

Core Responsibilities and Essential Functions:
Excellence in Customer Service by collaborating with the healthcare team, patients, and their families:
  • Upholds the rights and dignity of patients at all times.
  • Fosters relationships with family members.
  • Ensures confidentiality is maintained.
  • Engages in hourly patient rounding.
  • Manages paper medical records and scans documents into electronic systems as needed.
  • Addresses patient concerns promptly.
  • Offers assistance and comfort measures proactively to patients and families.
  • Presents oneself in a positive and professional manner, demonstrating sensitivity to the needs of others.
  • Responds to telephone calls and patient call lights, communicating patient needs to the healthcare team.
  • Facilitates patient admissions, transfers, and discharges as necessary.
  • Monitors bed activity and notifies housekeeping of patient discharges.
  • Assists in managing unit flow during emergency situations.
  • Requests patient escorts when necessary.
  • Facilitates direct patient admissions.
  • Oversees data entry for critical patient safety information.

Teamwork:
  • Supports the initiatives of the healthcare team.
  • Participates in interdisciplinary rounds as a scribe and assists with outcome activities as required.
  • Conducts charge reconciliations.
  • Alerts nursing staff when physicians arrive on the unit.
  • Completes audits as requested.
  • Manages staffing reconciliations in relevant systems.
  • Submits supply requisitions and manages deliveries.
  • Places orders for durable medical equipment.
  • Engages in unit performance improvement initiatives.
  • Promotes professional nursing practices through shared governance and ethical accountability.
  • Transports supplies, medications, and equipment as assigned.
  • Demonstrates accountability in all tasks.

Communication:
  • Utilizes effective written and verbal communication skills with patients, staff, physicians, families, and visitors.
  • Employs safety communication techniques.
  • Initiates physician and ancillary consults.
  • Maintains IT equipment and reports malfunctions.
  • Acts as a liaison between patients and diagnostic areas, providing updates on anticipated test times.
  • Remains knowledgeable about patient care documentation tools.
  • Serves as a unit expert for electronic documentation.
  • Facilitates data recovery during system downtimes.
  • Communicates patient care concerns to nursing staff.
  • Engages in respectful communication with all members of the healthcare team.

Safety and Infection Control:
  • Ensures a safe environment for unit operations.
  • Consistently practices appropriate hand hygiene.
  • Maintains cleanliness and organization in patient rooms and unit areas.
  • Adheres to PPE and infection control policies.
  • Reinforces the importance of universal precautions with patients and their families.
  • Operates disinfection machines after patient discharges.
  • Conducts environment of care rounds.

Required Minimum Education:
High school diploma or equivalent from an accredited program is required.

Required Minimum License(s) and Certification(s):
Additional Licenses and Certifications:

Required Minimum Experience:
Less than 1 year of clinical experience in an acute care setting is preferred.

Required Minimum Skills:
Ability to read, write, and speak the English language.
Strong customer service and interpersonal skills.
Ability to collaborate with other healthcare providers in patient care.
Essential multi-tasking abilities.
Ability to function in stressful and emergency situations.
Strong attention to detail is required.
Computer skills are necessary; personal time management skills are essential.
Basic computer skills are required.
Ability to enter information into an electronic medical record.
Basic medical terminology knowledge is required.
