Position Summary

Key Responsibilities

Accountable for establishing and assessing priorities and protocols for the upkeep and development of the organization's premises.

This encompasses supervision of facility renovations, equipment requirements, maintenance tasks, grounds upkeep, securing contract proposals, and optimizing the utilization of facilities while managing relevant contractors and service providers.

Responsible for the routine maintenance, repairs, installations, and construction activities within the organization's facilities.

This includes, but is not limited to, plumbing, electrical systems, HVAC, power generation and backup systems, structural integrity, roofing, painting, appliances, equipment, and security systems.

Oversees and coordinates repair and renovation/construction expenditures to adhere to set budgets.
Accountable for managing the shipping/receiving operations and ensuring physical security across various locations.
Investigates and proposes cost-saving measures related to existing and future systems.
Responsible for evaluating and negotiating new and existing office leases and ATM site agreements. Coordinates spatial planning across all sites.
Maintains lifecycle planning and development for all equipment and leases managed by Facilities. Achieves financial goals by forecasting needs, preparing annual facilities capital expenditures, scheduling expenses, and analyzing discrepancies. Develops and implements strategies that have immediate (1-2 year) impacts on business outcomes in alignment with organizational objectives.

Primary Duties and Responsibilities


Ensures all facility, construction, and related maintenance and renovation tasks are completed, including plumbing, electrical, HVAC, telecommunications, lighting, drive-up systems, sound/music systems, power generation and backup, structural work, roofing, painting, and appliance management, including the procurement of new or replacement equipment.

Maintains electronic records of all issues and actions taken.


Monitors and guarantees contractor compliance with company agreements, including but not limited to: landscaping, janitorial services, HVAC, carpeting, elevator maintenance, and snow removal.

Coordinates and oversees contracts for janitorial services, grounds maintenance, and waste management at all branches. Prepares specifications for bids and supervises contract implementation. Maintains a vendor file for all facility-related services.

Recruits, trains, schedules, and evaluates staff members.

Collaborates closely with contractors and vendors to address and resolve emerging issues. Maintains an understanding of vendor responsibilities to ensure work is completed to the required standards. Acts as a liaison between general contractors or vendors to ensure construction projects remain on schedule and within budget. May serve as the lead for enterprise-level construction initiatives.

Maintains an adequate inventory of maintenance supplies utilized across all buildings. Implements a lifecycle management system for all leases and equipment under Facilities management.


Works in conjunction with the Compliance and Security Manager to ensure the safety of buildings, areas, and grounds for employees and visitors, including the installation of security equipment in new or existing locations.

Develops and adheres to the annual facilities budget. Identifies opportunities for implementing efficiencies and cost reductions.

Responsible for the maintenance and overall condition of company vehicles.

Oversees departmental mailing operations:
shipping and receiving. Ensures adequate supply levels are maintained.

Performs additional duties as assigned.


Must adhere to all company policies and procedures, as well as applicable laws and regulations.


Collaborates closely with the Compliance and Security Manager to ensure safety measures are in place for employees and visitors, including the installation of security equipment in new or existing locations.

Experience


Five to ten years of relevant experience, including time spent in preparatory roles and three to five years in a management capacity.


Education/Certifications/Licenses

High school diploma or GED required. A valid state driver's license is mandatory.

Interpersonal Skills

A significant level of trust and diplomacy is essential to be an effective subject matter expert in this role.

Engaging in in-depth discussions, conversations, and explanations with customers, direct and indirect reports, and external vendors on sensitive and/or highly confidential matters is a regular part of the job.

Communication may involve motivating, influencing, educating, and advising others on significant issues.

Primarily sedentary work with limited physical exertion and occasional lifting of up to 75 lbs.
