The Administrative Assistant will serve as the receptionist, perform secretarial duties, organize and maintain the office in the Basic Medical Sciences department, maintain budgetary records, coordinate travel arrangements, and coordinate calendars for the faculty and staff. This role is responsible for providing administrative support to the department, ensuring the smooth operation of the office, and maintaining a professional and welcoming environment for students, faculty, and visitors.
Key Responsibilities:
- Provide administrative support to the department, including answering phones, responding to emails, and maintaining records.
- Organize and maintain the office, including supplies, equipment, and facilities.
- Maintain budgetary records, including tracking expenses and preparing financial reports.
- Coordinate travel arrangements, including booking flights, hotels, and rental cars.
- Coordinate calendars for faculty and staff, including scheduling meetings and appointments.
- Provide customer service to students, faculty, and visitors, including responding to inquiries and resolving issues.
Requirements:
To be successful in this role, the Administrative Assistant must have excellent communication and organizational skills, be able to work independently, and have a strong attention to detail. The ideal candidate will have experience in an administrative role, preferably in a higher education setting.
