Job Summary

This is a dynamic role responsible for providing administrative support to the facility. As a Clerical Operations Coordinator, you will be the first point of contact for clients and visitors, ensuring they receive a warm and welcoming experience. You will also be responsible for managing accounts payable, processing donations, and maintaining accurate records.



Main Responsibilities:


  • Administrative Support: Provide exceptional customer service, responding to phone calls, emails, and in-person inquiries in a timely and professional manner.
  • Accounts Payable: Prepare and send accounts payable, adhering to established procedures and policies.
  • Donations Management: Process weekly contributions, deposits, and receipts, ensuring accuracy and transparency.
  • Record Keeping: Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and security.
  • Volunteer Management: Supervise volunteers, track volunteer hours, and process volunteer packets as required.
  • General Office Duties: Perform various office tasks, including mail management, supply ordering, and building maintenance.
  • Reporting: Compile and submit statistical reports to senior leadership, ensuring timely and accurate data.


Requirements:

To succeed in this role, you should possess:




  • English Proficiency: Sufficient written and spoken communication skills to interact with colleagues, clients, and customers effectively.
  • Microsoft Skills: Intermediate knowledge of Microsoft Office Suite, including Word, Excel, Publisher, and email software.
  • Administrative Skills: Familiarity with standard office equipment, data entry, attention to detail, and filing.
  • Confidentiality: Ability to handle confidential information with discretion and professionalism.


Education and Experience:

A high school diploma or equivalent is required, with 1-2 years of experience in a similar role.
