Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Support For Early Learning & Families. As the first point of contact for families, children, and staff, you will provide a welcoming and professional experience to every individual.

Key Responsibilities:
  • Serve as the face of the Center, providing a positive experience for all visitors and making meaningful connections with them.
  • Answer phones and front door promptly and courteously, ensuring that every interaction is professional and friendly.
  • Set up, maintain, and audit child files, ensuring that all procedures are followed when children leave the program.
  • Maintain all records for funding, including CACFP, Procare verification daily and tracking, and entering trainings into ChildPlus.
  • Provide oversight to attendance monitoring and share patterns with the Center Director as needed.
  • Create, maintain, and follow up on health and safety checklists.
  • Schedule dental, vision, and hearing screenings for children and their families.
  • Provide classroom coverage for staff when backup is needed due to attendance and/or behavior concerns.
  • Submit and track all maintenance and IT requests for Center staff and FSSs.
  • Oversee immunization tracking for enrolled children and follow up with families as needed.
  • Run monthly reports from ELMS and ChildPlus and distribute data to specified parties.
  • Collect and track annual forms from families.
  • Serve as lead trainer for bus aides if present at your Center, ensuring trainings are thorough and up-to-date.
  • Remain aware and up to date on changes in the Washington Administration Code.
  • Support other centers with administrative duties as needed, including training other administrative assistants or bus aides.
  • Maintain a clean and orderly office environment.
Requirements:
  • 18 years of age or older.
  • High school diploma or GED.
  • Successful completion of a portable background check (PBC) and clearance through the Department of Children Youth and Families prior to working in the program.
  • Participation in Washington's State Training and Registry System (STARS) program required.
  • Valid CPR/First Aid certification including child/infant prior to working in the program.
  • Valid Food Handler's Card required prior to working in the program.
  • Negative TB test completed within the previous twelve months prior to working in the program.
  • Initial health exam completed by medical provider showing you are free from communicable diseases.
  • Documentation showing immunity to Measles, Mumps, & Rubella (MMR), either vaccination records or results of a Titer test prior to working in the program.
  • Completion of HIV/Blood Borne Pathogens training prior to working in the program.
Physical and Strength Demands:

The job involves sitting, standing, walking, lifting, carrying, reaching, grasping, bending, stooping, crouching, pushing, and/or pulling. Position involves physical mobility with or without reasonable accommodation to perform essential functions of the job.
