Responsibilities:
  • Support daily office operations in CTSI's Long Island office by providing administrative assistance.
  • Assist in the creation and review of project reports, proposals, and bid documents for various ongoing projects.
  • Contribute to project management by submitting governmental filings and insurance certification requests.
  • Act as an intermediary between office staff, clients, laboratories, subcontractors, and CTSI's field staff.
  • Perform administrative tasks such as document processing, answering phones, taking memos, and other ad-hoc tasks as assigned.
  • Assist in scheduling projects, meetings, and conferences, as well as provide support to senior project executives.
  • Support the updating and maintenance of records and data.
  • Assist in resolving IT issues that arise within the office.
  • Contribute to invoicing, accounts payable, and receivable issues.
Qualifications:
  • High school diploma and at least 2-4 years of experience or an associate degree and at least 2 years of experience, or a bachelor's degree in a related field.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) is required.
  • Familiarity with Adobe Acrobat is beneficial.
  • Knowledge of IT and computers is helpful.
  • Self-motivation and proactivity are essential.
  • A high degree of accuracy, organization, and attention to detail is required.
  • Excellent communication skills (written, verbal, and customer service) are necessary.
  • A sense of urgency and ability to meet deadlines is crucial.
  • Comfortable working independently and as part of a team.
  • Able to succeed in a fast-paced environment.
  • Punctuality and professionalism are expected.
