Administrative Assistant

As an Administrative Assistant, you will play a crucial role in supporting our local teams in Bristol, PA. Your responsibilities will include providing diversified and complex administrative support, using initiative and judgment to plan and carry out administrative functions. You will report to the Director of NA Technology Center and work closely with the Bristol Research & Innovation Centre team.
- This position requires strong organizational skills, attention to detail, and excellent communication skills. You will be responsible for formatting, typing, and proofreading complex reports, forms, graphics, manuscripts, and memorandums. You will also coordinate the physical preparation of reports and ensure timely distribution to relevant parties.
- You will support regional CAPEX managers, maintain updated CAPEX requests, place CAPEX purchases, track updates, and ensure timely receipt of CAPEX. Additionally, you will schedule meetings, handle conference room reservations, and order refreshments and supplies.
- You will screen incoming telephone calls and visitors, answer questions, and refer them to appropriate personnel. You will also transmit messages and decisions to management and other internal and external parties.
- In the supervisor's absence, you will ensure that requests for action or information are relayed to the appropriate staff member. You will gather and review non-technical data for completeness and consistency, tabulate and summarize operational or financial data, and prepare complex reports and documents.
- You will identify and independently handle department-specific activities, referring unusual questions to the supervisor or others. You will prepare monthly time-entry, order chemical supplies, handle detailed communications, maintain databases, and reconcile company purchase card statements.
- You will make travel arrangements, prepare expense reports, request checks and codes payments, and maintain and reorder office supplies. You will also establish and maintain records, logs, files, and follow-up systems.
- You will provide technical assistance and serve as a resource to other secretarial staff members in the department. You will have regular contacts with other departments, furnishing or obtaining information or reports.
We are looking for an experienced administrative professional with a strong background in supporting administrative needs and providing support through Microsoft Office systems or related database software programs. You should have proficiency in Word, Excel, PowerPoint, SRM-7, RCS, and RTO (web-based travel or purchasing systems). You should also have excellent communication skills, ability to work efficiently, set priorities, and handle multiple tasks at once.
