GENERAL DESCRIPTION:


This role involves providing a comprehensive range of legal and administrative support services related to the intake of grievances directed at attorneys licensed in Texas.

The position requires meticulous management of a substantial volume of information within a fast-paced environment, necessitating regular communication and collaboration with the Intake Team, various departments, the public, respondents, and external agencies.


PRIMARY FUNCTIONS:


Accountable for precise and prompt data entry of incoming grievances and updates on case statuses in case management software, while maintaining accurate case tracking logs.

Responsible for drafting and refining letters, reports, correspondence, and legal documents.
Responds to both verbal and written inquiries; conducts database searches to provide information suitable for public release.
Organizes and sustains both digital databases and physical filing systems.

Assists legal professionals and investigators in preparing documents for grievance committee hearings, including assembling hearing packets and ensuring timely distribution as required.

Shares responsibilities with colleagues as a backup receptionist.
Undertakes additional responsibilities and special projects as needed.



POSITION REQUIREMENTS:
A high school diploma or equivalent is mandatory; some college coursework is preferred.

A minimum of three years' experience in administrative roles, ideally within a legal context or handling confidential information.

Exceptional interpersonal and business communication skills are essential.
Must demonstrate superior accuracy, proofreading, and organizational abilities, along with individual initiative and sound judgment.
Capability to manage multiple tasks while delivering excellent customer service is required.

Problem-solving skills and the ability to complete tasks independently and promptly are necessary.
Technological proficiency is required, including familiarity with Microsoft Word, Adobe Pro, Zoom, Teams, and Outlook Express. Experience with case management software is advantageous.
Fluency in Spanish is a plus.
A valid Texas driver's license is required.


This position offers the possibility of a hybrid work arrangement, combining remote work and in-office responsibilities as determined by the employer.
