GENERAL DESCRIPTION:


This role involves providing a range of legal and administrative support services related to the intake of complaints received by the Chief Disciplinary Counsel against attorneys licensed in the state.

The position requires meticulous management of a substantial volume of information in a fast-paced environment, necessitating regular communication and collaboration with the Intake Team, various departments, the public, respondents, and external agencies.


PRIMARY FUNCTIONS:


- Ensure precise and prompt data entry of incoming complaints and updates regarding case statuses in case management software, while maintaining comprehensive case tracking logs.

- Draft and revise letters, reports, correspondence, and legal documents as needed.

- Address both verbal and written inquiries; conduct database searches and provide information suitable for public release.

- Organize and sustain both digital databases and physical filing systems.

- Assist legal professionals and investigators in preparing documents for grievance committee hearings, including assembling hearing packets and ensuring timely distribution.

- Share responsibilities with colleagues as a backup receptionist.

- Undertake additional duties and special projects as assigned.


POSITION REQUIREMENTS:

A high school diploma or equivalent is required; completion of some college-level coursework is preferred.

A minimum of three years of experience in administrative roles, ideally within a legal context or handling confidential information, is necessary.

Exceptional interpersonal and business communication skills are essential.

Candidates must demonstrate superior accuracy, proofreading, and organizational abilities, along with individual initiative, sound judgment, and the capacity to manage multiple tasks while delivering excellent customer service.

Problem-solving skills and the ability to complete tasks independently and promptly are required. Proficiency in technology, including Microsoft Word, Adobe Pro, Zoom, Teams, and Outlook Express, is necessary. Experience with case management software is advantageous. Bilingual abilities, particularly in Spanish, are beneficial.

This position allows for a hybrid work arrangement, combining remote work and in-office responsibilities as determined by the employer.
