Role Summary: McGuire Sponsel is in search of an Administrative Coordinator for our Atlanta office. This position plays a crucial role in facilitating the administrative, financial, and business development operations within the organization. We are looking for a proactive, organized, and detail-oriented individual who thrives in a collaborative environment and enjoys contributing to a team. A successful candidate will excel in a dynamic setting, possess exceptional communication abilities, and have a solid understanding of Microsoft Office, particularly Excel. Experience in client invoicing is also essential.

Key Responsibilities:

  • Provide comprehensive administrative assistance to shareholders, leadership, and staff across the firm.
  • Collaborate closely with business development teams to support sales strategies and monitor progress.
  • Ensure timely and precise entry of client data into our accounting systems.
  • Prepare detailed client invoices with a strong emphasis on accuracy, particularly for the R&D Tax Credit service line.
  • Assist in tracking and reporting sales opportunities using Salesforce, our customer relationship management tool.
  • Organize and maintain digital files and information for various projects.
  • Support the preparation of client proposals and engagement documentation.
  • Manage the ordering of office supplies and refreshments, ensuring all areas are well-stocked.
  • Coordinate travel arrangements for staff, including flights, car rentals, and accommodations.
  • Handle expense report submissions and reconciliations.
  • Assist in planning firm-wide events, including catering and retreats.
  • Facilitate firm-wide mailings and client gift distributions.
  • Provide general support to visitors and manage incoming phone calls.

Qualifications:

  • Familiarity with client invoicing and billing procedures; experience with time and billing software is advantageous.
  • Prior experience with Salesforce is preferred.
  • Self-motivated, deadline-oriented individual with strong technological skills and attention to detail.
  • Ability to stay organized and manage diverse daily tasks.
  • Capability to multitask effectively in a fast-paced environment.
  • Excellent written and verbal communication skills; comfortable interacting with all organizational levels.
  • Proficient in Microsoft Excel, Word, Outlook, PowerPoint, and Adobe.
  • Willingness to learn new software and processes.
  • Strong time management skills and ability to prioritize tasks effectively.
  • Minimum of 2 years of administrative support experience, preferably in a professional services context.
