Key Responsibilities:

  • Warmly welcome visitors and provide essential support to vendors, candidates, and contractors.
  • Act as a liaison with property management, contractors, and various service providers.
  • Ensure that the facility and all workspaces consistently adhere to safety standards.
  • Optimize facility space allocation for maximum efficiency.
  • Maintain the security of the premises.
  • Procure supplies as necessary, with the approval of HR or Accounting.
  • Oversee the cleanliness and stocking of the breakroom.
  • Organize and distribute incoming mail.
  • Handle mail requests for various departments, including payroll distribution.
  • Collaborate with HR to uphold office policies, assist with employee engagement, onboarding, and other assigned tasks.
  • Perform other related duties as required.

Qualifications:

  • Demonstrated experience in office management, administration, or as an assistant.
  • Familiarity with office management responsibilities, systems, and procedures.
  • Exceptional time management skills with the ability to multitask and prioritize effectively.
  • Strong attention to detail and problem-solving capabilities.
  • Excellent written and verbal communication skills.
  • Outstanding customer service aptitude.
  • Ability to navigate a fast-paced environment with competing priorities.
  • Proficient in Microsoft Office Suite and Outlook.
  • Understanding of business and management principles.
  • Basic knowledge of project management principles and practices.
