Community Support Specialist

Position Overview:

As a Community Support Specialist, you will provide exemplary customer service and administrative assistance to both internal and external stakeholders. Your role will involve collaborating with Community Association Managers, managing intricate Work Orders and Architectural Review requests, overseeing amenity requirements, and supporting various special projects.

Key Responsibilities:

  • Address customer inquiries regarding work orders, ARC requests, and community responsibilities.
  • Ensure community information is current and accurately maintained in the designated systems.
  • Oversee and follow up on complex Association Work Orders.
  • Document actions taken in the system for record-keeping.
  • Organize and archive essential documents for efficient storage.
  • Process compliance notices in line with community standards.
  • Review and manage complex ARC applications.
  • Maintain homeowner records, including amenity reservations and parking passes.
  • Coordinate the distribution of access devices for community use.
  • Organize physical ballots for community elections.
  • Serve as the primary contact for homeowner inquiries.
  • Assist with various Community Support tasks as needed.
  • Update Association information in the official record-keeping system.
  • Collaborate with service providers to address community-related questions.
  • Support the documentation of maintenance activities for third-party systems.
  • Perform additional duties and special projects as assigned.

Qualifications:

  • High School Diploma or equivalent; Associate's Degree is preferred.
  • 1-4 years of experience in administrative support roles.
  • Proficient in Microsoft Office applications.
  • Strong organizational skills and ability to multitask effectively.
  • Conflict resolution capabilities.
  • Excellent verbal and written communication skills.
  • Customer service-oriented with a keen attention to detail.
  • A collaborative team player with adaptability and reliability.
  • Proficient in utilizing technology for operational tasks.
  • Professional demeanor and respectful attitude.

Essential Functions:

  • Operate standard office equipment.
  • Remain stationary for extended periods.
  • Lift and relocate items weighing up to 25 pounds.
  • Travel to offsite locations as necessary.
