Job Summary
We are seeking an experienced Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to our clients and team members, ensuring seamless day-to-day operations and exceptional client service.
Key Responsibilities
- Coordinate client acceptance processes and approvals
- Prepare engagement letters and coordinate budgets with client service professionals
- Prepare client bills and invoices in accordance with Firm guidelines
- Coordinate calendars and schedules appointments, ensuring all parties are informed and up-to-date
- Coordinate meetings, including preparing and distributing agendas and meeting materials, reserving facilities, and transcribing meeting minutes
- Compose, type, and distribute professional correspondence, memos, and emails
- Order and maintain supplies, coordinate equipment inventory and maintenance
- Demonstrate a high level of professionalism in dealing with confidential and sensitive issues
- Perform general clerical duties, including filing, photocopying/scanning, and mailing
Requirements
- Associate's degree (AA) or equivalent, 1-3 years of related experience
- Excellent verbal and written communication skills
- Intermediate skill set with Microsoft Office 365 and Adobe Products
- Intermediate skill with MS Dynamics data input
- Commitment to excellence and high standards, with acute attention to detail
- Strong organizational, problem-solving, and analytical skills, with ability to manage priorities and workflow
- Ability to deal effectively with a diversity of individuals at all organizational levels
- Good judgment with ability to make timely and sound decisions
- Ability to work independently and as a member of various teams and committees
- Versatility, flexibility, and willingness to work within constantly changing priorities with enthusiasm
- Demonstrated ability to be proactive, plan, and organize projects

Pay Range: $50,000 - $65,000
