Job Overview

Position: Lead Medical Receptionist

The Lead Medical Receptionist acts as the main liaison for patients, visitors, and healthcare professionals at the Whole Family Health Center Inc. Reporting to the Clinical Office Manager, this position is pivotal in overseeing the reception team, managing front office activities, and ensuring exceptional customer service. Responsibilities include coordinating patient appointments, maintaining medical records, and enhancing the overall efficiency of front office operations. This role is built on trust and accountability.

Effective Communication

Strong verbal and written communication skills are essential for this role. The individual must exchange information with tact and diplomacy. The Lead Medical Receptionist must effectively interact with patients, staff, and others, contributing to a positive workplace atmosphere. Proficiency in Spanish, Creole, or both is advantageous.

Key Responsibilities

  1. Oversee the Medical Office Reception staff under general supervision, ensuring compliance with established processes and procedures.
  • Provide support, training, and mentorship to reception staff.
  • Assign and evaluate daily tasks to promote effective front desk operations.
  • Engage in regular performance assessments and offer constructive feedback for staff development.
  1. Ensure high-quality patient interactions
    • Welcome patients and visitors in a warm and professional manner.
    • Assist with check-in and check-out processes, including verifying patient details and processing payments.
    • Address patient inquiries and concerns promptly, directing them to the appropriate medical or administrative personnel as necessary.
    • Continuously monitor the waiting area to ensure patients receive proper attention.
  2. Manage Provider Schedules
    • Schedule patient appointments and oversee the appointment calendar to maximize physician and resource availability.
    • Handle appointment reminders, cancellations, and rescheduling requests efficiently.
  3. Maintain accurate and confidential patient records, including demographic and insurance details.
    • Ensure updated insurance card copies are on file.
    • Confirm patient eligibility.
    • Collect copayments from all patients.
  4. Enhance Operational Efficiencies
    • Monitor front office supplies and equipment, placing orders as needed.
    • Adhere to office policies and procedures to maintain compliance with healthcare regulations and standards.
    • Assist in developing and refining office workflows to improve service delivery and operational efficiencies.
  5. Facilitate Communication, Compliance, and Quality Assurance
    • Promote effective communication between patients, medical staff, and administrative teams.
    • Collaborate with other departments to address patient needs and ensure smooth operations at Whole Family Health Center Inc.
    • Ensure compliance with HIPAA regulations and other privacy standards in all patient interactions.
    • Monitor and report any issues related to patient safety and quality of care.
    • Maintain professionalism and communicate respectfully with all staff members.
  6. Perform additional duties and responsibilities as assigned.
  7. May require occasional travel between clinics for coverage.

Education & Training

  1. High school diploma or GED required; a college degree is preferred.
  2. Must be cross-trained in electronic medical records, scheduling software, and Microsoft Outlook.

Experience

  1. One to three years of progressive experience in a medical office environment.
  2. Level 2 background clearance is required.

Requirements

  1. Ability to stand, sit, and walk for extended periods.
  2. Capability to lift objects weighing more than 20 pounds.
  3. Effective communication skills, both written and verbal.
  4. Must demonstrate visual and auditory acuity.
  5. Must have all necessary vaccinations.
