The Lead Medical Receptionist acts as the primary liaison for patients, visitors, and healthcare professionals at the Whole Family Health Center Inc. Reporting to the Clinical Office Manager, this role encompasses supervising the reception team, overseeing front office operations, and ensuring exceptional customer service. The Lead Medical Receptionist is tasked with coordinating patient appointments, managing medical records, and enhancing the overall effectiveness of the front office. This position carries significant responsibility.
Communication Skills
Strong verbal and written communication abilities are essential for this role. Information must be conveyed with tact and diplomacy. The individual in this position must effectively interact with patients, staff, and others, contributing to a supportive atmosphere. Proficiency in Spanish, Creole, or both is advantageous.
Key Responsibilities
- Oversee the Medical Office Reception staff under general supervision, ensuring compliance with established protocols.
- Provide support, training, and mentorship to reception personnel.
- Delegate and review daily responsibilities to guarantee efficient front desk operations.
- Engage in regular performance assessments and offer constructive feedback for staff development.
- Ensure positive patient interactions
- Welcome patients and visitors in a warm and professional manner.
- Assist with check-in and check-out processes, including verifying patient details and processing payments.
- Address patient inquiries and concerns promptly, directing them to the appropriate medical or administrative personnel as necessary.
- Continuously monitor the waiting area to ensure patients receive proper attention.
- Manage Provider Schedules
- Coordinate patient appointments and oversee the appointment calendar to maximize physician and resource availability.
- Handle appointment reminders, cancellations, and rescheduling requests efficiently.
- Maintain accurate and confidential patient records, including demographic and insurance information.
- Ensure up-to-date copies of insurance cards are on file.
- Confirm eligibility.
- Collect copayments from all patients.
- Enhance Operational Efficiencies
- Monitor front office supplies and equipment, placing orders as needed.
- Adhere to office policies and procedures to ensure compliance with healthcare regulations and standards.
- Assist in developing and refining office workflows to improve service delivery and efficiency.
- Facilitate Communication, Compliance, and Quality Assurance
- Promote effective communication between patients, medical staff, and administrative teams.
- Collaborate with other departments to address patient needs and ensure seamless operations at Whole Family Health Center.
- Ensure compliance with HIPAA regulations and other privacy standards in all patient interactions.
- Monitor and report any issues related to patient safety and quality of care.
- Maintain professionalism and communicate respectfully and positively with all staff members.
- Perform additional duties and responsibilities as assigned.
- May occasionally require travel between clinics for coverage.
Education & Training
- High school diploma or GED required; college degree preferred.
- Must be cross-trained in electronic medical records, scheduling software, and Microsoft Outlook.
Experience
- One to three years of progressive experience in a medical office environment.
- Level 2 background clearance required.
Requirements
- Ability to stand, sit, and walk for extended periods.
- Ability to lift objects weighing more than 20 pounds.
- Effective communication skills, both written and verbal.
- Must demonstrate visual and auditory acuity.
- Must have all necessary vaccinations.
