Job Title: Assistant Director of Finance

Job Summary:

Assist in overseeing and directing financial activities of the hotel, ensuring asset protection and preparing financial reports in accordance with Generally Accepted Accounting Principles. Administer the Finance Department.

Key Responsibilities:
  1. Review and reconcile ledger account statements, including bank statements, assets, liabilities, and credit cards.
  2. Reconcile Balance Sheet accounts on a monthly basis.
  3. Perform General Cashier duties, including daily deposits, petty cash, and cashier audits.
  4. Prepare monthly journal entries.
  5. Administer bank downloads and transfers.
  6. Prepare monthly EMON bill for the Management Company.
  7. Coordinate and review monthly financial statements for accuracy, monitoring coding of cash receipts.
  8. Oversee monthly forecast preparation and assist with annual budget preparation.
  9. Direct and supervise finance staff, including maintenance of payroll records, and perform their duties in their absence.
  10. Direct the monthly closing process to be completed within established guidelines.
  11. Review tax returns to ensure compliance with state and federal regulations.
  12. Prepare monthly accruals, including utilities and telephone accruals.
  13. Monitor records of inventory to control accuracy of supply distribution, acting as liaison to all operating departments.
  14. Assist the Director of Finance in internal daily audits of cash deposits and transfers.
  15. Ensure compliance with hotel and corporate policies and procedures.
Supporting Functions:
  1. Responsible for Crunch gym and Beneflex enrollments.
  2. Responsible for the sale and reorder of staff movie tickets.
  3. In the absence of the Director of Finance, attend departmental meetings to stay informed and provide input.
Qualifications:
  1. Ability to communicate effectively in English with guests, management, and co-workers.
  2. Ability to provide high-quality communication and be technologically proficient with Microsoft Windows applications.
  3. Prioritize and organize work assignments, with timely follow-up and execution.
  4. Excellent time management skills, effective communication with customers and team.
  5. Ability to compute complex mathematical calculations.
  6. Knowledge and understanding of Atelier & Ace Culture & initiatives.
  7. Maintain complete knowledge of all hotel services and features.
  8. Perform special projects as assigned by the Director or Corporate Director of Finance.
Education and Experience:

Any combination of education and experience equivalent to a four-year college degree is required. Computer programs knowledge, such as Word, Excel, and OPERA, is necessary. A minimum of 12 months of management experience in a mid-size hotel is required.

Language and Mathematical Skills:
  1. Ability to understand guests' service needs and requests.
  2. Ability to acknowledge guests' requests with a polite answer.
  3. Must be able to communicate effectively in English with guests, management, and other team members.
  4. Additional foreign language is preferred.
  5. Ability to compute complex mathematical calculations and formulas.
Reasoning Ability:
  1. Ability to anticipate and solve practical problems or resolve issues.
  2. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Certificates, Licenses, Registrations:
  1. College and computer training are preferred.
Physical Demands/Work Environment:
  1. Ability to stand, walk, and/or sit and continuously perform essential job functions for an eight-plus hour shift.
