Patient Services Coordinator

The Patient Services Coordinator serves as the initial point of contact for patients, ensuring a friendly and knowledgeable interaction. This role is crucial in delivering outstanding customer service by promptly greeting patients, whether in person or via phone. The Coordinator is responsible for managing the daily operations of the healthcare facility, including scheduling appointments, addressing patient inquiries, and maintaining accurate documentation of patient information and billing.
Key Responsibilities:
- Fosters a welcoming environment by greeting patients upon arrival and notifying healthcare providers of their presence.
- Maintains an organized appointment schedule to optimize patient satisfaction and ensure efficient provider availability.
- Operates a multiline phone system with professionalism, minimizing wait times for callers.
- Ensures access to treatment information by updating and retrieving patient records as necessary.
- Handles financial transactions, verifies patient charges, and expedites third-party claims processing.
- Oversees office inventory and equipment, anticipating supply needs and managing orders to maintain a tidy reception area.
- Collects patient identification and insurance details, assisting patients with necessary documentation and billing inquiries.
- Communicates effectively with healthcare providers, nurses, and other staff to ensure seamless coordination of patient care.
- Manages incoming and outgoing mail efficiently.
- Participates in emergency protocols as needed, assisting staff and calling for emergency services when required.
- Adheres to all relevant laws and organizational policies while performing assigned duties.
- Completes additional tasks as directed.
- High school diploma or equivalent is required.
- A minimum of 2 years of experience in a medical office administrative role is necessary.
- A combination of relevant education and experience may be considered.
- Proficiency in Microsoft Office applications is required; experience with medical record systems is preferred.
- Strong understanding of medical terminology is essential.
- Excellent interpersonal skills, with the ability to build relationships and collaborate effectively.
- Critical thinking skills with a focus on accuracy and detail.
- Proven ability to prioritize and manage multiple tasks in a fast-paced environment.
- Strong analytical and problem-solving capabilities.
- Ability to work independently while demonstrating professionalism.
- Effective communication skills in English, both written and verbal.
- Ability to sit for extended periods and lift up to 25 pounds.
- Requires frequent bending, reaching, and repetitive hand movements.
- Must have adequate hearing and visual acuity to perform job duties effectively.
