About the Role

We are seeking a highly motivated and organized Scientific Project Coordinator to join our team at Costello Medical. As a key member of our scientific divisions, you will be responsible for a variety of administrative, coordination, and scientific tasks related to client projects. Your primary focus will be on supporting the smooth running of projects, including identifying and suggesting improvements to processes, and implementing these changes to enhance quality and efficiency within the team and across the wider company.

Key responsibilities may include:

  • Formatting and reviewing scientific documents, including reimbursement submissions, reports, slide sets, manuscripts, abstracts, and posters
  • Assisting Project Managers with client and healthcare professional communication on multi-component projects
  • Coordinating logistics and providing project support for events and meetings, such as congresses, symposiums, and advisory boards
  • Day-to-day coordination of the project team and monitoring of project timelines
  • Scheduling meetings, recording minutes, and coordinating their distribution
  • Developing planning tools to optimize team productivity and cross-collaboration between teams
  • Supporting the accurate referencing of scientific materials and preparing reference packs
  • Screening records for relevance to research questions and extracting data from relevant publications
  • Liaising with the Creative team on the development of figures and visuals for reports
  • Supporting the development of client proposals and tracking those sent and responded to
  • Managing project compliance, including completing compliance training and preparation of project compliance documentation
  • Liaising with external suppliers, including translation agencies and digital and marketing agencies
  • Ownership of tasks in our project management system to support budgeting and invoicing
  • Supporting Analysts and Medical Writers with the write-up of methods and results into engaging reports and slide sets
  • Reformatting scientific documents to ensure adherence to client requirements and submission guidelines
  • Helping project teams stay up-to-date with the latest industry guidelines and sources of information
  • Organizing divisional meetings and other internal activities
