Position Overview
The Healthcare Services Coordinator serves as the initial point of contact for patients and visitors at InnovaCare Health facilities. This role involves assisting patients by evaluating, facilitating, planning, and advocating for their healthcare needs on an individual and ongoing basis.
Key Responsibilities
- Greet patients and visitors upon their arrival at the clinic, ensuring a welcoming environment.
- Oversee the waiting area to maintain wait times within a 15-minute window. If delays occur, the Coordinator will keep patients and visitors informed.
- Manage front desk operations and coordinate with Medical Assistants.
- Organize the daily schedule for healthcare providers.
- Ensure accurate patient registration by collecting, recording, and updating personal and financial information.
- Assist patients in navigating potential issues related to the healthcare system, including financial or social barriers (e.g., arranging for interpreters, transportation services, or prescription assistance); and facilitate changes to primary care providers if needed.
- Support patients with intake processes, including scanning necessary documents.- Collect patient financial responsibilities (e.g., co-payments, co-insurance, deductibles) and issue receipts.
- May handle cash management duties, balancing daily deposits and preparing bank deposits in accordance with company policies.
- Process walk-in patients and visitors by greeting them, answering phone calls promptly and professionally, and scheduling appointments as per guidelines.
- Answer phone inquiries and schedule appointments. May also assist case managers with scheduling follow-up visits.- Manage medical records (maintaining, filing/scanning, preparing for scheduling).
- Ensure timely scanning and filing of all correspondence.
- Process requests for medical record releases and maintain appropriate logs.
- Perform other related duties as assigned.
Minimum Qualifications
- High school diploma or GED equivalent.
- Strong focus on customer service.
- Effective written and verbal communication skills.
- Team-oriented approach.
- Highly organized with the ability to manage competing priorities.
- Familiarity with medical terminology.
- Knowledge of ICD-10 and CPT coding.
- Proficient in electronic health record systems.
- Ability to remain calm and effective in emergency situations.
- Basic mathematical skills.
- Adherence to safe work practices in a clinical environment.
- Ability to follow through on delegated tasks.
Preferred Qualifications
- 2-3 years of experience in a medical-related customer service role.
- Bilingual in English and Spanish is preferred but not required.
Physical & Mental Requirements:
- Required immunizations and vaccinations.
- Ability to lift up to 50 pounds.
- Ability to push or pull heavy objects with up to 100 pounds of force.
- Ability to stand or sit for extended periods.
- Proficient use of fine motor skills for operating equipment and/or machinery.
- Ability to drive and operate a vehicle.
- Ability to comprehend instructions both verbally and in writing.
- Logical reasoning skills for problem-solving.
- Occasional exposure to communicable diseases or bodily fluids.
- Occasional travel for clinic-related activities may be necessary.
