Job Title: Financial Operations Associate

Job Overview: The Financial Operations Associate plays a crucial role in overseeing the financial commitments of the organization by meticulously processing invoices, ensuring prompt payments to suppliers, and maintaining comprehensive records of financial activities. This position demands a keen eye for detail, exceptional organizational abilities, and the capacity to thrive in a dynamic work environment.

Primary Responsibilities:

  1. Invoice Management: Receive, evaluate, and manage invoices from suppliers and vendors. Confirm that invoices are correct, appropriately categorized, and authorized for payment in accordance with established protocols.
  2. Payment Administration: Prepare and execute payments, including checks, electronic transfers, and wire transactions, in a timely manner. Ensure compliance with payment terms and deadlines to prevent late fees or penalties.
  3. Supplier Relations: Foster positive relationships with suppliers and vendors by addressing inquiries, resolving discrepancies, and communicating payment statuses as necessary. Negotiate payment terms when required to optimize cash flow.
  4. Expense Reconciliation: Review and reconcile expense reports and credit card statements, ensuring that all expenses are accurately documented, categorized, and reimbursed in line with company policies.
  5. Record Maintenance: Keep precise and current records of accounts payable transactions, including invoices, payments, and communications. Organize documents in electronic or physical filing systems for easy access and auditing purposes.

Qualifications and Skills:

  • 2-3 years of experience in Accounts Payable
  • Proficient in Excel (including pivot tables, v lookups, etc.)
