Vaco is collaborating with a reputable organization seeking to enhance their team with a Financial Operations Associate.

Position Title: Financial Operations Associate

Overview: The Financial Operations Associate plays a crucial role in overseeing the organization's financial commitments by efficiently managing invoice processing, ensuring prompt vendor payments, and keeping meticulous records of all financial activities. This position demands a keen eye for detail, exceptional organizational capabilities, and the ability to thrive in a dynamic work environment.

Primary Duties:

  1. Invoice Management: Receive, evaluate, and process vendor invoices. Confirm that all invoices are accurate, correctly categorized, and authorized for payment in line with established protocols.
  2. Payment Management: Prepare and execute payments, including checks, electronic transfers, and wire transactions, ensuring timely processing. Adhere to payment schedules to prevent any late fees or penalties.
  3. Vendor Relations: Foster positive relationships with vendors by addressing inquiries, resolving issues, and providing updates on payment statuses. Negotiate payment terms when necessary to enhance cash flow.
  4. Expense Reconciliation: Review and reconcile expense reports and credit card statements, ensuring all expenses are documented, categorized, and reimbursed according to company guidelines.
  5. Documentation Management: Maintain precise and current records of accounts payable activities, including invoices, payments, and communications. Organize documents in electronic or physical filing systems for easy access and auditing.

Required Qualifications and Skills:

  • 2-3 years of experience in Accounts Payable
  • Proficient in Excel (including pivot tables, v lookups, etc.)
