Residential Mortgage Quality Control Specialist

Position Summary: The primary objective of this role is to support First Commerce in achieving our Vision of Empowering Generations, Transforming Communities. This is accomplished by providing Exceptional Member Service as outlined by our Service Standards, while also fostering and nurturing strong member relationships through the identification of their financial needs and effectively recommending suitable products and services to fulfill those needs.

The Mortgage Quality Control Specialist is responsible for post-closing activities, which include reviewing finalized loan documents for compliance, completeness, and accuracy. This role involves obtaining any missing information from closing agents, following up on recorded documents, and ensuring their accuracy, as well as preparing loan files for imaging and storage.

Key Responsibilities:

  • Examine loan documents for compliance, completeness, and accuracy. Gather missing information, prepare files, and ensure adherence to established policies and procedures.
  • Assess the necessity for and secure accurate corrections of critical documents by collaborating with settlement agents, internal departments, investors, members, third-party vendors, or service providers, and governmental agencies to ensure that loans are saleable, insurable, and/or suitable for portfolio in accordance with organizational policies and practices.
  • Conduct thorough audits and validations, followed by quality control (QC) of home equity and mortgage loan documents to ensure all documents are properly executed and in order.
  • Upload mortgage documents for electronic recording, generate monthly reports from the eRecording system to monitor this process, and send closed home equity security instruments to the appropriate clerks of court for counties not participating in electronic recording, while tracking and following up to ensure receipt of trailing documents, such as recorded security instruments and final title policies.
  • Prepare satisfactions of mortgages for paid-off home equity loans and manage their electronic recording. Generate monthly reports from the eRecording system to track the status of recorded documents, including those that may be rejected for various reasons.
  • Ensure original notes and mortgages are securely filed in fireproof cabinets, adhering to dual control procedures for the removal of active loans.
  • Responsible for obtaining delinquent tax reports, incorporating delinquent taxes into loans, and coordinating the issuance of checks to various tax collectors. Communicate necessary correspondence to members regarding different levels of delinquency.

Additional Responsibilities:

  • Perform job duties in compliance with policies established by the Board of Directors, adhering to the regulations set forth by the National Credit Union Administration, the State of Florida, and any applicable state laws.
  • Comply with regulatory requirements such as Reg E, BSA, OFAC, and CIP, including reporting any suspicious or unusual activities to management.
  • Fully support and embody First Commerce's Vision, Mission, Core Values, and Service Standards in all actions and communications.
  • Attend meetings as required, report to work as scheduled, and adhere to the organization's dress code.
  • Carry out other duties as assigned.

Qualifications:

  • Demonstrated knowledge of documents required for Conventional, FHA, VA, and USDA mortgage loan programs.
  • General understanding of financial institution operations, procedures, policies, and products.
  • Proficient in operating Windows-based computers and other office equipment with an intermediate level of skill.
  • Prior experience with mortgage processing software such as ENCOMPASS and DOC MAGIC is preferred.
  • Proven ability to deliver consistent, courteous, and exceptional member service.

Education and Experience:

  • Minimum of a high school diploma, GED, or equivalent certification; completion of 2 years of college-level courses in finance, accounting, or business, and/or CUNA courses on lending, including mortgage lending or equivalent AIB courses is preferred.

At least 2 years of prior experience in processing and/or preparing closing documents for residential real estate loans is required. Experience with construction lending, Fannie Mae, Freddie Mac, USDA, FHA, or VA loans is preferred.
