About the Role

Bespoke Private Service is seeking a highly skilled and experienced Executive Assistant to support the Principal in their daily operations. As a key member of the team, you will be responsible for ensuring the smooth execution of various tasks and projects, while maintaining the highest level of discretion and confidentiality.

Key Responsibilities
  • Estate Management: Oversee the day-to-day operations of the estate, including managing inventory, coordinating maintenance services, and scheduling appointments.
  • Problem Solving: Develop and implement strategic solutions to complex problems, working closely with the Principal to ensure effective execution.
  • Schedule Management: Coordinate and manage the Principal's schedule, including appointments, travel arrangements, and personal and work calendars.
  • Personal Errands: Manage various personal tasks, such as pet care, dry cleaning, and transportation, as instructed by the Principal.
  • Administrative Support: Provide administrative assistance, including creating spreadsheets, conducting research, and preparing reports.
  • Travel and Hospitality: Travel ahead of the Principal to prepare their homes for arrival, make restaurant reservations, and assist with planning and execution of special events.
  • Strategic Leadership: Collaborate with the Principal to develop and implement strategic business initiatives, ensuring successful execution and alignment with their vision.
Requirements
  • Bachelor's degree or equivalent experience
  • Minimum of 3 years experience as an Estate Manager within a family office setting
  • Executive or corporate experience is a bonus
  • Strong understanding of household operations, including scheduling maintenance, coordinating with vendors, and managing staff
  • Adaptable and flexible to manage evolving responsibilities and changing schedules
  • Tech-savvy and comfortable using various household management tools
  • Discreet and trustworthy with a commitment to confidentiality
  • Exceptional organizational skills with a keen eye for detail
  • Excellent communication (written and verbal) for clear and professional interaction
  • Proactive and resourceful with the ability to anticipate and fulfill needs
  • Long-term commitment and a partnership mentality
  • Positive and enthusiastic approach to tasks
  • Experience managing and executing multiple projects
  • Strong problem-solving skills to strategically address household challenges effectively
