Position Overview:

The Medical Office Receptionist plays a crucial role in providing comprehensive administrative and clerical support to a dynamic practice within the Dermatologic Surgery section.

Key Responsibilities:

1. Manage incoming phone calls, assessing their urgency and providing assistance or directing calls to the appropriate personnel, including direct communication with physicians or nurses for urgent matters. Support fellow receptionists in managing patient inquiries.

2. Offer specialized information regarding the section's policies, procedures, insurance, and services. Assist patients in completing necessary forms.

3. Develop and maintain monthly provider schedules and clinic calendars, ensuring accuracy and accommodating time off, additional patients, and emergency situations. Create patient bump lists as needed due to last-minute changes.

4. Schedule patient appointments, resolving any conflicts and notifying patients of changes or cancellations. Prioritize appointment urgency for rescheduling and may involve scheduling patients for clinical research studies.

5. Greet patients and visitors, securing their names and needs, and directing them accordingly. Update patient information, verify insurance details, and track referrals when necessary. Initiate the billing process by completing patient encounter forms and processing fee-for-service payments.

6. Coordinate diagnostic tests and specialized appointments for patients at various medical facilities, ensuring they receive the necessary paperwork and instructions for procedures.

7. Schedule surgical procedures, coordinating available dates for surgeries and pre/post-operative exams and lab work. Distribute necessary paperwork and maintain a tracking system for completion. Adjust surgery schedules as needed.

8. Organize and coordinate departmental meetings, classes, clinics, and conferences.

9. Utilize computer systems to input and retrieve data, generating complex reports and maintaining clinical and patient statistical data.

10. Prepare correspondence, clinical information, reports, and educational materials, composing general written materials as required.

11. Obtain and verify patient charts, medical records, and lab reports for completeness.

12. Sort, screen, and distribute incoming mail, ensuring the timely completion of medical forms by clinical staff. Facilitate interdepartmental communication, including the distribution of medical records and reports.

13. Establish and maintain organized filing systems.

14. Monitor inventory levels of office supplies and educational materials.

15. May oversee and guide support staff, ensuring adequate coverage at the reception desk.

16. Perform additional tasks related to office operations as needed.

Qualifications:

Four years of relevant work experience, including two years in a similar role, or an Associate degree with two years of related experience, or an equivalent combination of education and experience.

Required Skills:

1. Exceptional customer service skills with the ability to interact professionally with patients.

2. Strong verbal and written communication abilities.

3. Proficiency in EPIC preferred, along with experience in Microsoft Office.

4. Strong work ethic with the ability to adapt quickly in a fast-paced environment, demonstrating flexibility in work hours to meet practice needs.

5. Ability to collaborate effectively with team members and manage multiple tasks efficiently under pressure.

Additional Information:

Weekend hours may be required occasionally. Candidates will undergo pre-employment background screening, which may include various checks based on job requirements. Compliance with COVID-19 policies is mandatory.
