Client Relations Specialist in Litigation

The Litigation Client Services Coordinator position is tasked with delivering administrative support to a group of legal professionals by executing intricate administrative duties utilizing specialized expertise in the relevant practice areas.
This role emphasizes teamwork and collaboration, ensuring the highest quality of service is provided to both internal and external clients.
KEY RESPONSIBILITIES:
Attorney Assistance
Deliver exceptional client service by promptly answering and screening calls, while also providing necessary client support.
Engage closely with attorneys and clients to guarantee smooth communication and information transfer.Oversee the management of client-specific data to improve the quality of dedicated interactions.
Prioritize and manage the workflow of assigned tasks and projects to meet deadlines, coordinating with other support services as needed.
Possess a working knowledge of court regulations (both federal and state), including document preparation, electronic filing, and processing.Organize attorney schedules and assist in meeting deadlines, as well as coordinating travel arrangements for attorneys and clients.
Draft legal documents, memoranda, and correspondence from initial drafts or dictated text. Create, edit, format, and proofread documents, spreadsheets, and presentations with meticulous attention to detail.Support multiple attorneys as a primary assignment while also providing backup and coverage for other Client Service Specialists as necessary.
Transmit legal documents, memoranda, and correspondence to clients, witnesses, and court officials through various means such as electronic filing, fax, email, and mail.
Process new business requests in collaboration with the New Business Intake Team, which includes opening new matters, preparing and reviewing conflict submissions, closing matters, and maintaining client case files using appropriate recordkeeping software.
Maintain a calendar of critical deadlines and other important dates requiring action, ensuring accurate calculations and management of these deadlines.
Collaboration and TeamworkProactively engage with Legal Team Assistants to accomplish tasks.
Collaborate with resources, including the Attorney Resource Center, as needed to complete projects and tasks.
Adhere to all firm policies, procedures, standards, and guidelines while upholding confidentiality.
ADDITIONAL RESPONSIBILITIES:
Perform other related duties as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Education:
Associate's Degree preferred; Bachelor's Degree is advantageous; relevant work experience may be considered in lieu of a degree.
Experience:
A minimum of five (5) years of relevant experience in a law firm or legal department is required.
Knowledge, Skills, & Abilities:
Ability to effectively gather and summarize data for reports, solve various administrative challenges, and prioritize tasks.
Must demonstrate a high degree of initiative in managing multiple priorities in a fast-paced, high-pressure, detail-oriented environment, utilizing excellent judgment and decision-making skills.
Exceptional verbal and written communication skills are essential. A high level of interpersonal skills is required to handle sensitive and confidential situations.This position necessitates a highly professional demeanor and appearance, including poise, tact, and diplomacy.
Ability to maintain the highest level of confidentiality while providing outstanding customer service to internal and external clients.
Proven proficiency in legal terminology and experience in relevant practice areas.
Experience with court and administrative agency filings and meeting related deadlines.
Possess a high level of proficiency in using various office equipment, including personal computers, telephones, transcription equipment, printers, and copiers.
Keyboarding skills of 60 wpm or higher are required.Intermediate-level working knowledge of the MS Office Suite, including Outlook, Word, Excel, and PowerPoint, is essential.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This position operates in a clerical office environment. The role routinely utilizes standard office equipment, including computers, telephones, printers, and copiers.
PHYSICAL REQUIREMENTS
Medium Work:
Involves physical exertion to lift, carry, push, pull, or otherwise move objects weighing 20 to 50 pounds frequently, and/or greater than negligible up to 10 pounds.
VISUAL ACUITY
Requires close visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
