Position Summary

The Bid Desk Coordinator plays a crucial role in the coordination of bids, supporting the planning, organization, and execution of the entire process involved in responding to requests for proposals (RFPs), requests for information (RFIs), and requests for quotations (RFQs). This position is responsible for crafting responses, particularly in editing and reviewing final submissions. Collaboration with the sales team is essential to design, implement, and document the company's RFP processes.

Key Responsibilities
  • Identify and evaluate potential tenders available in the market.
  • Assist in reviewing bid requirements and proposing viable solutions.
  • Communicate potential tender opportunities to Directors and Vice Presidents.
  • Support the Sales and Bid Desk teams in formulating an action plan to address tender calls, including a detailed schedule of activities.
  • Compile all necessary documentation related to tender calls to prepare comprehensive responses.
  • Engage with the sales and operations teams to discuss technical responses.
  • Oversee the development and drafting of tender response documents.
  • Monitor the process closely to ensure adherence to deadlines until proposals are submitted to clients.
  • Review response documents to guarantee quality, consistency, and clarity in submissions and renewals.
  • Assemble and finalize response documents for submission or renewal.
  • Maintain a detailed register of tender calls using Excel and Salesforce.
  • Follow up on the status of ongoing tender calls.
  • Create an internal manual to document and standardize the process, including steps, content, and necessary documents.
  • Collaborate with the Sales team to identify and implement process improvements.
  • Exhibit initiative and support the sales team by engaging in additional projects as required.
  • Perform other related duties as necessary.
Qualifications and Experience
  • DEC in a relevant field or equivalent training.
  • 2 to 4 years of experience in a similar or related role.
  • Proficiency in both French and English, written and spoken, is preferred.
  • Strong organizational, planning, and project management skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
